Position Summary
Reporting to the Athletic Director and Student Engagement, the Assistant Athletic Director provides operational, administrative, compliance and game-day support for the College’s intercollegiate athletics program. The position plays a key role in ensuring the day-to-day work of Athletics is organized, completed accurately, and carried out in accordance with College, NJCAA and MCCAA requirements. This position is responsible for coordinating and completing athletics compliance and eligibility processes; maintain student‑athlete records and documentation; supporting academic progress monitoring; coordinating game day operations, team travel, equipment and uniform processes; maintaining athletics schedules, website content, statistics, and other departmental information; and providing administrative support for athletics events and activities.
The position works closely with the Director of Athletics and Student Engagement, coaches, student‑athletes, and College departments to ensure timely follow‑through on operational needs and to support student‑athlete success. This position serves as a central point of coordination for athletics processes, helping translate departmental priorities into completed tasks, accurate records, effective communication, and successful day‑to‑day operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING :
Athletics Operations and Administrative Coordination
- Coordinate the day‑to‑day administrative and operational activities of the athletics program under the direction of the Director of Athletics and Student Engagement.
- Maintain departmental calendars, schedules, records, files, rosters, contracts, scholarship information, and other athletics documentation.
- Coordinate scheduling of athletic contests, practices, and events and ensure appropriate information is entered and maintained in college and athletics scheduling systems, including 25Live.
- Coordinate team travel arrangements, including transportation, lodging, itineraries, and communication with coaches and vendors, consistent with established College procedures and approved budgets.
- Coordinate equipment and uniform ordering and maintain accurate inventory records in collaboration with coaches, vendors, and the Director.
- Coordinate internal and external athletic facility requests and communicate facility needs with Facilities, Grounds, Public Safety, and other appropriate College departments.
- Assist the Director with implementation and maintenance of departmental procedures, handbooks, forms, tracking systems, and operational processes.
- Provide administrative support for departmental purchasing, invoices, contracts, and other business processes in accordance with college procedures.
- Provide follow‑through on assigned departmental projects and operational priorities, identifying outstanding tasks, deadlines, or issues requiring the Director’s attention.
Compliance and Student‑Athlete Eligibility
- Coordinate and complete student‑athlete eligibility processes and required documentation in accordance with NJCAA , MCCAA , and College requirements.
- Prepare, process, maintain, and track eligibility forms, rosters, Letters of Intent, scholarship documentation, hardship documentation, and other required compliance records.
- Work directly with student athletes and coaches to collect required eligibility documentation and ensure materials are complete and submitted within established deadlines.
- Maintain accurate compliance records and tracking systems and communicate upcoming deadlines, missing documentation, or potential compliance concerns to the Director.
- Coordinate Letters of Intent for eligible student‑athletes and maintain scholarship tracking information to support compliance with established limits and College allocations.
- Assist the Director with information and documentation necessary for NJCAA , MCCAA , Title IX, Equity in Athletics Disclosure Act ( EADA ), and other required institutional or external reporting.
- Support implementation of athletics compliance procedures and communicate established requirements and deadlines to coaches and student‑athletes.
- Refer questions involving interpretation of regulations, potential violations, exceptions, or institutional decisions to the Director of Athletics and Student Engagement.
- Coordinate academic progress monitoring and continuing eligibility tracking for student athletes and maintain accurate, current information for coaches and the Director.
- Utilize CRM Advise and other College data systems to monitor student‑athlete academic progress, enrollment, retention indicators, and other student success information.
- Coordinate the Athletic Academic Success Plan, including study hall tracking, faculty progress information, academic alerts, and referrals to appropriate College resources.
- Communicate with student‑athletes regarding outstanding academic, eligibility, enrollment, or documentation requirements and provide appropriate follow‑up.
- Collaborate with Academic Advising, Financial Aid, Counseling, Disability Resources, Student Care, the Student Success Center, Registrar, and other College departments to help connect student‑athletes with appropriate resources and services.
- Coordinate with Academic Advising regarding student‑athlete course schedules and enrollment requirements while considering practice and competition schedules.
- Work with Financial Aid and appropriate College staff to support accurate processing and tracking of approved athletic scholarships and financial aid information.
- Assist with tracking student‑athlete retention, completion, academic performance, and other success measures and prepare information for review by the Director.
- Support student‑athlete onboarding, orientation, and other activities designed to help student‑athletes successfully transition to and navigate the College.
Game-Day and Event Operations
- Coordinate the operational execution of home athletic contests and events, including facility setup and teardown, staffing, ticketing, concessions, officials’ needs, game‑day materials, and other logistical requirements.
- Develop and maintain game‑day checklists, staffing plans, schedules, and operational procedures to support consistent event execution.
- Coordinate student workers and assigned game‑day personnel and communicate responsibilities and schedules.
- Work with coaches, Facilities, Grounds, Public Safety, Athletic Training, Marketing, and other College departments to ensure operational needs for athletic contests and events are communicated and completed.
- Identify and communicate game‑day operational concerns to the Director and assist with timely resolution.
- Support athletic tournaments, special events, student engagement activities, and other departmental programs as assigned.
Athletics Communication and Information
- Maintain accurate and timely athletics website content, including schedules, rosters, results, statistics, game recaps, student‑athlete information, and other departmental updates.
- Coordinate collection and posting of game statistics, photographs, results, and other sports information.
- Coordinate athletics social media content and game‑day communications in accordance with college marketing and communication standards.
- Work collaboratively with the College Marketing Department to support promotion of athletic programs, events, accomplishments, and student‑athletes.
- Coordinate student workers or other assigned support involved in statistics, photography, website updates, and sports information activities.
Departmental Support
- Assist with prospective student‑athlete visits, campus tours, recruitment activities, and athletics‑related onboarding as assigned.
- Support athletics fundraising activities, special events, student‑athlete engagement activities, and departmental initiatives under the direction of the Director.
- Provide operational support for the Student Athlete Advisory Committee, student‑athlete leadership activities, and other athletics/student engagement initiatives as assigned.
- Maintain effective communication with coaches regarding deadlines, documentation, schedules, operational needs, and established departmental procedures.
- Serve as a resource to coaches and student‑athletes regarding established athletics processes and connect questions requiring policy interpretation or administrative decisions to the Director.
- Foster cross‑campus collaboration with Counseling, Disability Resources, Academic Advising and the Student Success Center to holistically address student‑athlete needs.
- Work with the Athletics Director to monitor and update completion and retention rates to be shared upper administration.
Required Qualifications
- 1-3 years of position related experience.
- Experience working in athletics, student services, operations, or with student athletes.
- Demonstrated ability to coordinate multiple projects, deadlines, events, and administrative processes in a fast-paced environment.
- Ability to maintain accurate records and handle confidential student and institutional information appropriately.
- Strong organizational skills and attention to detail.
- Proficiency with computer applications and ability to learn College, athletics, scheduling, and student information systems.
- Ability to work independently within established procedures while collaborating effectively as part of a team.
- Ability to meet and work with the public in a friendly and professional manner.
- Dependable, punctual, follow‑through and flexible to changes.
- Ability and willingness to work night and weekends as required by athletic contests, events and departmental needs
Additional Experiences Considered
- Bachelor’s degree in Sports Administration, Sports Management, or Similar field
- Experience in community college athletics
- General knowledge of athletic compliance at the NJCAA or NCAA levels.
- Website Maintenance and Social Media Experience
