Responsibilities

  • Manage game operations, ensuring practices and services meet the needs of coaches, student-athletes, visiting teams, officials, and fans.
  • Schedule practices and events for 17 Division 1 sports teams with multiple locations.
  • Oversee staff including graduate assistants, interns, student workers, and event staffers, including hiring, training, and payroll.
  • Maintain and troubleshoot electronic equipment, including scoreboards and sound systems.
  • Coordinate vehicle fleet management, driver approvals, and vehicle maintenance.
  • Communicate departmental needs to Conference Services, Special Events, Facilities Services, and other departments.
  • Develop daily work orders, tickets, and service requests; coordinate event operations before, during, and after athletic events.
  • Ensure readiness of facilities (fields and venues) for practice and competition; oversee capital projects and renovations.
  • Plan and coordinate pre-season meetings with coaches and other departments; manage TV production staff during events.
  • Travel frequently to athletic facilities and manage high-pressured event environments.

Job description

Assistant Athletic Director for Facilities and Operations reports to the Deputy Athletic Director. This person leads the day-to-day management of 8 athletic facilities, including maintenance scheduling, and scheduling allocation for athletic programs, departmental needs, and approved campus events. This position is responsible for arranging and supervising all events taking place in any athletic fields including events held in athletic facilities by non-athletic groups and outside organizations and the maintenance and upkeep of the athletic fields including day to day interactions with the following departments: Public Safety, Facility Services, Fir Food Services, Grounds, IT/Telecommunications etc. is a requirement and a duty. Oversee all aspects of Division 1 intercollegiate competitions and event operations.

  • Manage game operations, ensuring game practices and services are meeting the needs and addressing the needs of coaches, student-athletes, visiting teams, officials, and fans.
  • Manage the scheduling of practices and events for 17 Division 1 sports teams. Provide comprehensive oversight of complicated process with teams sharing multiple locations and training and competing nearly year round.
  • Provide management and oversight of the department's staff including Athletics Event Manager 4 graduate assistants, 4-5 interns and 10-15 student workers, and 80 event staffers including hiring training, and payroll.
  • Maintain and upkeep all electronic equipment: scoreboards, LED message boards, clock and sound equipment including the department's music laptops
  • Oversee athletic department passenger vans to include: maintain accurate booking of vehicles, ensure all drivers are formally approved to drive by the University, track and schedule maintenance of vehicles, preserve cleanliness of van pool, enforce van use policies, review and update van policies annually
  • Communicate departmental needs and coordinate efforts with Conference Services, Special Events, Facilities Services, Maintenance, Grounds, Night Cleaners, Purchasing, IT/Telecommunications, Food Services, Public Safety, Fire Safety and Environmental Safety departments
  • Develop daily work order log, generate and track maintenance work tickets, work orders, security key lock work orders, and telephone service requests
  • Work in conjunction with University Facilities and Grounds to ensure all outside facilities including: Belson Stadium, Belson Press Box, Kaiser Stadium, DaSilva Track & Field, DaSilva Press Box, Softball Field, and Tennis Courts are ready for practice and competition
  • Help oversee facilities planning, renovations, special facilities projects and capital planning
  • Manage the planning, and coordination of event operations before, during, and after all athletic events.
  • Determine all logistical needs and communicate and coordinate necessary services for campus public safety, marketing/Learfield IMG, ticketing & ushering, sports information, concessions, IT, and university facilities/grounds department.
  • Coordinate pre-season meetings with all coaches, assistant coaches and to all appropriate departments, vendors and others to ensure necessary levels of staffing coverage and overall event understanding.
  • Manage and coordinate the operations for TV production staff during televised events on campus. Create and assist in the development of event policies and procedures for staff and guests.
  • Ensure the highest level of service by identifying and communicating solutions to problems.
  • The role requires frequent travel to athletic facilities, coordination with multiple departments, and the ability to manage high-pressured event environments. It involves both administrative oversight and hands-on operational management
  • Performs other duties as assigned.

This position operates in a professional office environment as well as indoor and outdoor athletic facilities. Work is performed in stadiums, arenas, athletic fields, practice facilities, event spaces, and administrative offices. The position regularly uses computers, printers, telephones, electronic event equipment, scoreboards, communication devices, and other standard office and event management tools.

Physical Demands

While performing the duties of this position, the employee is regularly required to move equipment. The employee is frequently required to climb stairs, bend, stoop, kneel, reach, and transport equipment and event materials. The employee must occasionally lift, move, push, or carry objects.

Position Type/Expected Hours of Work

For example: days and hours of work are full time Monday through Friday, 8:30 a.m. to 4:30 p.m. This position regularly requires long hours and weekend work.
