Job description

The Village of Arlington Heights is seeking a detail-oriented and service-focused Deputy Village Clerk to join the Finance Department in a part-time role. The Deputy Village Clerk plays a key role in the Clerk’s Office, coordinating Freedom of Information Act (FOIA) requests, maintaining official Village records, supporting Village Board meetings, and providing assistance to the public, staff, and elected officials.

The Deputy Village Clerk serves as a FOIA Officer, coordinating and responding to public records requests. This includes reviewing requests to determine their scope, working across Village departments to identify and locate records, reviewing records for completeness and statutory exemptions, and ensuring responses are accurate and completed within required deadlines.

The position also supports Village Board and Committee of the Whole meetings by coordinating meeting materials, preparing the Board Room, recording proceedings and attendance, and preparing and maintaining official minutes. In the Village Clerk’s absence, the Deputy Village Clerk may attend meetings and prepare the official record of proceedings. Evening availability is required.

Additional responsibilities include maintaining official Village records, assisting with elections and referendums, administering oaths of office, conducting research, responding to public inquiries, and assuming designated responsibilities of the Village Clerk as needed.

The ideal candidate is highly organized, accurate, and comfortable managing work that is both deadline-driven and detail-intensive. Strong written communication, sound judgment, and a commitment to responsive public service is essential for success in this role. Candidates must possess at least a high school diploma or equivalent, some technical or business training, and one to three years of related experience.

The starting hourly rate for this part-time position is $36.65 – $38.70 an hour, with opportunities for increases annually. The regular schedule for this position is Monday-Friday, from 9:00 a.m. – 2:00 p.m., for a total of 25 hours a week. Additional evening hours are required periodically for Village Board and Committee of the Whole meetings. As a part-time role, this position does not offer medical and dental insurance, but does offer paid time off (as provided to part-time employees) and participation in the Illinois Municipal Retirement Fund pension plan.

The Village of Arlington Heights is an equal opportunity employer and strives to be a welcoming and inclusive place for all, improving how we recruit, empower, and retain the most diverse and very best talent, ensuring careers in public service will continue to attract the brightest for coming generations.
