Job summary

Ingersoll Rand in Charlotte, NC is seeking an Area Specialist to provide administrative support across 1–3 Customer Center locations. You will assist with cash flow activities, health and safety, policy compliance, and facility oversight, plus HR and Finance tasks.

You report to the Area Operations Manager and collaborate with Sales, Service, and Operations to support reporting, special projects, and day-to-day office operations. Strong MS Office skills and attention to detail are essential.

Qualifications

• High school diploma or GED; 2+ years related experience.
• Proficiency in MS Office (Outlook, Excel, Word).
• Preferred: Bachelor’s Degree in HR, Business Administration, or related field.
• Preferred: Salesforce, SAP, ERP experience.

Responsibilities

• Coordinate resolution of disputed customer invoices and process portal invoices.
• Organize new customer/vendor account setup and changes; ensure GRNI compliance.
• Manage indirect purchasing to resource Customer Centers (facility services, office equipment, safety supplies).
• Manage phones, mail, and office filing.
• Complete forms/questionnaires and request insurance certificates.
• Manage training calendar and employee engagement events; order catering.
• Collaborate with Service Supervisor to coordinate facility maintenance and ensure compliance with employment law and EHS regulations.
• Work with Finance to manage data for reporting and decision-making; monitor policy compliance.
• Assist Area Operations Manager and staff with reports, special requests and projects.

Job Overview

The Area Specialist position provides administrative support for 1-3 Customer Center locations. The Area Specialist is responsible for supporting cash flow activities, employee health & safety, policy compliance, and facility oversight. Additionally, the Area Specialist will provide assistance with HR and Finance related activities in the customer centers. The Area Specialist will report to Area Operations Manager, but assigned responsibilities may support objectives in the Sales, Service, or Operations areas of the office.

Responsibilities

• Coordinate resolution of disputed customer invoices, process portal invoices, manage credit memos, reconcile cash & credit card transactions, and assist with credit worthiness decisions.
• Organize new customer and/or new vendor account set-up and manage customer account changes. Ensure compliance with Goods Received Not Invoiced (GRNI).
• Manage indirect purchasing to ensure Customer Centers are properly resourced (facility services, office equipment, and office & safety supplies).
• Manage phones, process incoming and outgoing mail, and handle all office filing.
• Completing customer/contractor forms/questionnaires and requesting certificate of insurance.
• Manage training calendar and employee engagement events, including ordering catering and supplies.
• Collaborate with local Service Supervisor to coordinate facility maintenance and ensure employment law and EHS regulatory compliance.
• Work with Finance to manage data for reporting and decision-making. Monitor policy compliance and address any discrepancies immediately.
• Assist Area Operations Manager and staff with reports, special requests and projects as assigned.

Basic Qualifications

• High school diploma or GED required, along with a minimum of 2 years of related experience.
• Proficiency in MS Office required.

Preferences:

• Bachelor's Degree in HR, Business Administration, or relevant field or a combination of relevant education and experience required.
• Financial acumen, problem solving, and data analytics skills required for success.
• Proficiency in Salesforce (or other CRM), SAP, ERP and other software systems strongly preferred.

Travel & Work Arrangements/Requirements

• This position will be based in Charlotte, NC, and may travel occasionally within the US for meetings, employee training, and other business needs (5-10%).
