Administrative Assistant III - Area Coordinator – Under direct supervision, performs journey-level administrative duties and/or technical program assistance to support unit operations. Establishes, tracks, and maintains internal record-keeping systems; ensures files are accurate, up-to-date, and securely stored. Serves as a key point of contact with the public, internal staff, government agencies, and private organizations. Organizes and coordinates meetings, conferences, and seminars; schedules, prepares agendas, arranges logistics, and ensures materials are available. Handles travel arrangements, requests, and reimbursement vouchers. Maintains structured filing systems for easy retrieval and secure storage. Works under general supervision with moderate latitude for initiative and independent judgment. This position requires regular attendance and will not involve remote or teleworking; normal working hours.

Performs other duties as assigned. This may include participating in disaster response and/or Continuity of Operations (COOP) activation, potentially requiring alternate shift patterns or locations.

Essential Job Functions (EJFs)
  • Attends work on a regular basis and may be asked to work a specific shift schedule or rotating schedule, extended shift, and/or overtime in accordance with agency leave policy.
  • Establish, track, and maintain internal record-keeping systems; manage confidential documents with discretion; ensure compliance with agency policies. 20%
  • Serve as a key point of contact with the public, internal staff, government agencies, and private organizations; provide timely responses to inquiries about rules, policies, and procedures. 15%
  • Obtain equipment, services, and supplies by maintaining inventory, processing payments per policy, and procuring needed items. 15%
  • Organize and coordinate meetings, conferences, and seminars; manage logistics and travel reimbursements; monitor purchases of office supplies and materials. 15%
  • Gather, review, and analyze documents and data to provide administrative support; prepare reports, obtain approvals via electronic signatures, and assist with audits and compliance checks. 15%
  • Maintain filing systems; coordinate communications, direct inquiries, and support workflow between units. 15%
  • Perform other duties as assigned, including disaster response/COOP participation; may require alternate shift patterns or locations. 5%
Knowledge, Skills and Abilities (KSAs)
  • Knowledge of office practices and administrative procedures.
  • Knowledge of business English, spelling and grammar.
  • Knowledge of state travel policy and procedure.
  • Knowledge of record keeping and filing systems.
  • Knowledge of HIPAA laws.
  • Skilled in written communications, proofreading, editing, and verbal communications.
  • Skilled in time keeping and Microsoft Office products.
  • Ability to implement administrative procedures, interpret rules and train others; work independently and as a team; manage multiple projects and timelines; prepare correspondence and requisitions; maintain confidentiality.

Initial Screening Criteria

At least two (2) years’ experience in a professional support role.

Additional Information

Applicants must pass fingerprint background checks, pre-employment drug screen, and registry checks; males 18-25 must be registered with Selective Service. All applicants must be at least 18; some locations require 21. Flexibility in work hours may be required. Immunization policy compliance is required. Vaccines may be provided; if not immunized for influenza, mask and other measures may be required.
