Responsibilities
Under direct supervision, the Administrative Assistant III – Area Coordinator performs appointment-level administrative duties and technical program assistance to support unit operations:
- Maintain accurate, up‑to‑date internal record‑keeping systems and confidential filing systems.
- Serve as a key point of contact, communicating professionally with the public, internal staff, government agencies, and private organizations.
- Organize and coordinate meetings, conferences, seminars, and other events, including scheduling, agenda preparation, logistics, and materials.
- Handle travel arrangements and expense reimbursements.
- Manage office supplies, equipment, and inventory, ensuring appropriate procurement procedures.
- Gather, review and analyze documents and data to provide technical assistance and administrative support, including preparing reports and routing approvals.
- Coordinate workflow between organizational units and ensure a functional office environment.
- Participate in disaster response or continuity of operations (COOP) activations as required.
Essential Job Functions
- Attend work regularly, may work specific shift schedule or overtime as required.
- Establish, track, and maintain internal record‑keeping systems, manage confidential documents, and comply with policies.
- Communicate professionally with external and internal stakeholders and provide timely responses.
- Obtain equipment and supplies, maintain inventory, and apply appropriate payment methods.
- Organize and coordinate meetings, travel, and events.
- Prepare and route reports and forms for approval, ensuring quality and compliance.
- Maintain structured filing systems and manage communications such as calls, mail, and inquiries.
- Support disaster response and COOP activation duties.
Qualifications
Knowledge, Skills, and Abilities:
- Office practices and administrative procedures.
- English spelling, grammar, and business communication.
- State travel policy and procedure.
- Record keeping and filing systems.
- HIPAA laws.
- Written, verbal, and proofreading skills.
- Microsoft Office products.
- Ability to implement and evaluate administrative procedures.
- Interpretation of rules, regulations, policies, and complex procedures.

- Managing multiple projects with timelines.
- Preparing correspondence, forms, and requisitions.
- Maintaining confidential information.
Initial Screening Criteria: At least two (2) years’ experience in a professional support role.
Additional Information
- Applicants must pass a fingerprint criminal background check, pre‑employment drug screen, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE).
- Males aged 18‑25 must be registered with Selective Service.
- All applicants must be at least 18 years of age. Applicants for Waco and Terrell Center for Youth must be at least 21.
- Flexibility in work hours, overtime, and extended hours may be required.
- Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required. Vaccines may be provided.
