Qualifications

  • High School Diploma or equivalent; associate or bachelor’s degree welcomed.
  • Entry-level or recent graduates may be considered.
  • Experience or exposure to RIMS (Regulatory Information Management Systems) preferred.
  • Experience or familiarity with Veeva Vault preferred.
  • Ability to classify and organize QC documentation.
  • Exposure to GMP-regulated environments is a plus.
  • Strong attention to detail and confidentiality.

Responsibilities

  • Support intake, review, classification, labeling, and filing of GMP QC records.
  • Review documentation and categorize QC records.
  • Maintain accurate paper record inventories, indexes, logs, and tracking systems.
  • Organize and store records in approved archive locations for retrieval.
  • Respond to routine records requests and retrieve archived documentation.
  • Perform quality checks to ensure records are complete and properly labeled.
  • Track record requests, transfers, archiving activities, and basic metrics.
  • Support retention and disposition activities per procedures.
  • Prepare documentation for transfer, storage, retrieval, or destruction.
  • Follow GMP, data integrity, and security requirements; protect confidential information.
  • Collaborate with Quality Control and other teams on records questions.
  • Assist with records management training materials and communications.
  • Utilize RIMS, Veeva Vault, Microsoft Office, and SharePoint.

Archive Records Analyst

Location: Worcester, MA
Schedule: 100% Onsite
Pay: $30 - $32/hour (dependent on relevant experience)

Position Overview

We are seeking an Archive Records Analyst to support the day-to-day administration of a Quality Control records archiving program within a regulated pharmaceutical environment.

This position will support the organization, classification, filing, tracking, retrieval, retention, and disposition of GMP-regulated paper records. The ideal candidate is highly organized, detail-oriented, and comfortable working with different types of Quality Control documentation.

This is a great opportunity for an entry-level or early-career candidate with exposure to records management, document control, Quality Control documentation, or regulated environments.

Key Responsibilities
  • Support the intake, review, classification, labeling, and filing of GMP-regulated and Quality Control records
  • Review documentation and appropriately identify and categorize different types of QC records
  • Maintain accurate paper record inventories, indexes, logs, and tracking systems
  • Organize and store records in approved archive locations to ensure accurate and efficient retrieval
  • Respond to routine records requests and retrieve archived documentation for authorized personnel
  • Perform quality checks to ensure records are complete, properly labeled, and filed in the correct location
  • Track record requests, transfers, archiving activities, and basic metrics
  • Support records retention and disposition activities in accordance with established procedures
  • Prepare documentation for transfer, long-term storage, retrieval, or authorized destruction
  • Follow applicable GMP, data integrity, records management, privacy, and security requirements
  • Partner with Quality Control and other local business teams to resolve routine records and archiving questions
  • Assist with records management procedures, training materials, and related communications
  • Utilize RIMS, Veeva Vault, Microsoft Office, and other applicable tracking systems
Qualifications
  • High School Diploma or equivalent required; Associate's or Bachelor's degree welcomed
  • Entry-level and recent college graduates may be considered
  • Experience or exposure to RIMS (Regulatory Information Management Systems) strongly preferred
  • Experience or familiarity with Veeva Vault strongly preferred
  • Ability to recognize, classify, and organize different types of Quality Control documentation
  • Experience with records management, document control, filing, archiving, or administrative documentation is preferred
  • Exposure to a GMP-regulated pharmaceutical, biotechnology, medical device, laboratory, healthcare, or manufacturing environment is a plus
  • Basic understanding of document filing, tracking, retrieval, retention, and disposition practices
  • Strong attention to detail and organizational skills
  • Ability to follow established procedures and appropriately handle confidential or controlled information
  • Basic proficiency with Microsoft Word, Excel, PowerPoint, and SharePoint
  • Strong written and verbal communication skills
