Qualifications

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • 2–3 years of medical office experience in healthcare operations preferred.
  • Experience with project management and adherence to department budgets preferred.
  • Must be computer literate with experience in practice management and EMR systems.

Responsibilities

  • Design and implement departmental processes to ensure quality care and customer service.
  • Serve as the point person for the practice management and EMR systems.
  • Maintain knowledge of policies and comply with government, insurance, and third-party payer regulations.
  • Create and execute project work plans; manage day-to-day project aspects and training documents.
  • Collaborate with leadership to complete projects on time, within budget, and to specifications.
  • Work with the ancillary team on new process/system development and implementation.
  • Coordinate with Vendors for supply management and education opportunities for ancillary services.
  • Abides by HIPAA confidentiality; attends staff meetings.
  • Participate in marketing activities for the Advanced Center for GI Therapeutics.
  • Additional duties as assigned.

General Summary of Duties

United Digestives Ancillary Operations Coordinator assists the Ancillary Services department leadership to facilitate smooth and efficient operations. Special focus on items such as service schedule templates, inter-department relationships, provider, staff, and patient communication, and use of our practice management and EMR systems. The Ancillary Operations Coordinator plays a critical role in managing projects for new services, new physicians, and new practice initiatives including, but not limited to, process document updates, process changes, coordinating and facilitating ancillary vendor relationships and in-services

RESPONSIBILITES

Duties may include but are not limited to:

  • Ensures the delivery of quality care and customer service within the ancillary departments through the design and implementation of departmental processes/procedures
  • Serve as the point person for processes and functions contained within the practice management system, and EMR system
  • Maintain knowledge of and comply with policies and procedures including government, insurance, and third-party payer regulations
  • In partnership with Ancillary Services leadership, creates and executes project work plans; manages day-to-day operational aspects of a project, including development of the project plan, follow up with the project team, creation of necessary process and training documents; revising as appropriate to meet changing needs and requirements etc.
  • Collaborates with department leadership to complete an assigned project on time, within budget, to specifications, and with accuracy and efficiency.
  • Works with the ancillary team on new process/system development and implementation
  • Partners with the Revenue Cycle Management (RCM) team for continual ancillary process improvements
  • Track/analyze/recommend expansion of ancillary services
  • Collaborates with Vendors for supply management (contracted orders)
  • Coordinates with Vendors for educational/training opportunities for ancillary services
  • Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information
  • Participates in all Ancillary Services department staff meetings
  • Participates in marketing activities for the Advanced Center for GI Therapeutics
  • Additional duties and responsibilities as assigned
REQUIRED EDUCATION, SKILLS, & EXPERIENCE

High School Diploma or GED required, Bachelors degree strongly preferred; 2-3 years of medical office experience with a concentration in healthcare operations and systems preferred. Experience in project management and adhering to department budgets preferred. Must be computer literate and able to operate healthcare system and multiple Microsoft Office applications.

  • Interpret and apply clinical and non-clinical policies and procedures
PHYSICAL/MENTAL/ENVIRONMENTAL DEMANDS

Requires sitting and standing associated with a normal office environment, travel as business needs dictate.
