Job summary

Rockefeller Philanthropy Advisors is seeking an Analyst, Operations Specialist SP&F to provide operational support for a portfolio of client relationships. The role leads grantmaking, contract administration, expense reimbursements and other tasks.

  • Experience with CRM and comfort in learning new technologies.

Rockefeller Philanthropy Advisors (RPA) is a nonprofit organization that advises on and manages more than $400 million in annual giving by individuals, families, corporations and major foundations. RPA facilitates grantmaking to nearly 70 countries and serves as a fiscal sponsor for over 120 projects.

Role Overview

The Analyst, Operations Specialist SP&F provides operational support for a portfolio of client relationships and leads activities such as grantmaking, contract administration, expense reimbursements, and other operational tasks. The analyst is an expert on RPA’s internal systems and processes, trains project staff, and suggests enhancements to existing tools and processes. The role functions with significant independence to achieve stated objectives.

Core Accountabilities
  • Grant Management Support – Lead and manage the grantmaking review processes, share funding requirements with internal stakeholders, and ensure timely responses to clients and potential grantees. Utilize internal grantmaking system for client communication and tracking including proposals, due diligence, award letters, grant agreements, and monitoring of assigned grants.
  • Project Risk and Issue Resolution – Guide and support the resolution of risks, issues, dependencies, and constraints associated with projects, escalating when appropriate. Develop, agree on, and execute solutions to overcome obstacles.
  • Document Preparation – Organize and prepare complex documents using standard office software, gathering and summarizing data for special reports.
  • Project Operational Coordination – Ensure effective tracking and approval of project expenses, provide systems training, and connect sponsored project staff to resources such as credit card procurement.
  • Client Relationship Management – Build strong client relationships and respond to inquiries promptly, ensuring trust and credibility among project partners.
  • Internal Communications – Lead inquiries and requests, and participate in problem‑solving for Sponsored Projects as requested.
  • Continuous Improvement – Continuously review existing operations in the analyst’s area of work and suggest and implement innovations to support client needs and operational efficiency.
  • Contract Management – Develop and administer contracts for Sponsored Projects utilizing RPA templates and systems; escalated complex contracts to Grants Management and/or Legal as required.
Complexity and Problem Solving
  • Requires advanced skills and experience to solve complex issues; acts as project representative in coordinated problem resolution.
  • Work reviewed at project completion rather than continuously; uses knowledge and skills to assess and manage project‑related risks.
  • Communicates clearly and provides technical guidance without supervision.

Travel Requirements
  • Some travel may be required.
Compensation & Benefits
  • $100,000 – $104,000 salary per year.
