Role Overview

We are seeking a sharp, highly organized, technology-savvy Analyst to support the Office of the CEO. This hybrid role combines traditional executive administrative support with analytical, project coordination, project management, and business operations responsibilities. The position is ideal for someone who is eager to learn how a financial services business operates, comfortable working with senior leaders, and interested in building strong skills in executive support, business analysis, communication, project management, and cross-functional follow-through.

The ideal candidate is proactive, intellectually curious, polished, detail-oriented, and comfortable balancing hands‑on administrative execution with research, analysis, and project support. This role requires discretion, strong judgment, excellent organization, and the ability to anticipate needs, think a few steps ahead, and pivot quickly when plans change. The person in this role should be comfortable creating backup plans, solving logistical issues in real time, and turning information into clear summaries, action items, and next steps for the CEO and senior leadership team.

Key Responsibilities
  • Provide administrative, scheduling, and daily coordination support for the CEO and/or senior executives, including calendar management, meeting logistics, travel, expenses, and document preparation.
  • Support the Office of the CEO by helping organize priorities, track follow-ups, prepare agendas, and ensure meetings are supported with accurate materials and clear next steps.
  • Prepare concise summaries, briefing notes, meeting recaps, action item trackers, and status updates for internal initiatives, executive meetings, and firm‑wide priorities.
  • Conduct research and gather information to support CEO office projects, business updates, client or market preparation, internal planning, and special initiatives.
  • Assist with basic analysis using Excel, PowerPoint, and other tools, including organizing data, updating trackers, identifying trends, and preparing clear summaries for review.
  • Draft, edit, and format emails, presentations, reports, talking points, and other communications with attention to tone, accuracy, audience, and confidentiality.
  • Coordinate internal meetings, leadership touchpoints, client‑facing meetings, employee events, and firm initiatives, including planning timelines, room setup, technology, catering, agendas, materials, participant details, and day‑of execution.
  • Apply intuitive planning and sound judgment to anticipate potential issues, develop backup plans, adjust logistics quickly, and keep meetings, events, and executive priorities moving smoothly when circumstances change.
  • Support event planning from concept through execution, including coordinating invitations, vendor or venue details, attendee communications, run‑of‑show documents, supplies, catering, technology needs, and post‑event follow‑up.
  • Support project management across CEO office initiatives by helping define next steps, track owners and deadlines, monitor deliverables, organize status updates, and keep cross‑functional projects moving forward.
  • Use Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other productivity tools to improve organization, workflow, reporting, and communication across the Office of the CEO.
  • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
What We’re Looking For
  • Highly organized, detail-oriented, dependable, and able to manage multiple priorities with strong follow‑through.
  • Strong analytical mindset, with the ability to gather information, organize data, identify key points, and communicate findings clearly.
  • Comfortable with Excel, PowerPoint, Outlook, Word, Teams, and technology‑enabled productivity tools; interest in learning AI‑enabled tools is a plus.
  • Excellent written and verbal communication skills, with the judgment to tailor messages for executives, employees, clients, vendors, and external partners.
  • Curious about business, financial services, leadership decision‑making, and how priorities move from strategy to execution.
  • Proactive and resourceful, with a willingness to take ownership, ask good questions, and improve processes over time.
  • Interested in project management as a potential career path, with a desire to learn how to organize workstreams, manage timelines, communicate status, and help teams move from planning to execution.
  • Polished, discreet, service‑oriented, and comfortable working around senior leaders and confidential information.
  • Administrative, office support, internship, client service, business operations, research, finance, professional services, or related experience is preferred. Strong candidates with transferable skills will be considered.
Why This Is a Great Opportunity
  • Gain direct exposure to the Office of the CEO and learn how senior leaders manage priorities, decisions, communications, and execution.
  • Build a strong foundation in executive support, business analysis, project coordination, project management, meeting preparation, and internal communications.
  • Develop practical project management skills by learning how to clarify objectives, organize workstreams, track action items, follow up with stakeholders, and help ensure initiatives move forward.
  • Develop business acumen in a lean financial services/capital markets environment where individual contribution is visible and valued.
  • Use technology, organization, and analytical thinking to help the CEO office operate more efficiently and stay focused on high‑priority work.
  • Grow into a trusted role with the potential to expand responsibilities over time based on performance, business needs, and mutual fit.
  • Location: New York, NY
  • Work Type: Full‑time, Hybrid (3 days in‑office, 2 days remote)
  • Compensation: $70,000 - $95,000 base salary, eligible for a performance‑based discretionary bonus
  • Core Benefits: Company‑paid $300,000 life insurance policy, alongside comprehensive health and retirement packages.
