What you'll do

The Ambulatory Office Assistant I serves as the first point of contact for patients within the Bassett Healthcare Network. This role is vital in the patient-centered care team, demonstrating excellence in all patient and customer interactions, including face-to-face and phone communications. Responsibilities include providing administrative and clinical support, ensuring a high-quality patient experience through excellent customer service, attention to detail, and interpersonal skills. The role involves communicating effectively with nurses and providers, scheduling patients efficiently, collecting demographic and financial information, and possibly handling revenue through payments and insurance processing. The position may also include direct patient care duties.

  • Greet patients courteously and warmly, ensuring a welcoming environment.
  • Provide new patients with Welcome to Bassett Network information.
  • Escalate emergent situations or patient concerns to supervisors or nurses.
  • Answer phones promptly with a professional greeting.
  • Take and follow up on accurate messages and prescription requests.
  • Encourage patients to sign up for MyBassett.
  • Inform patients proactively about delays or schedule changes.
  • Keep patient communication preferences updated.
  • Complete outpatient registration accurately, verifying demographic and insurance data.
  • Confirm and document primary care provider information.
  • Ensure data accuracy for regulatory compliance through audits.
  • Support collection of signatures for Medicare compliance.
  • Correct and update patient information promptly.
  • Assist with appointment scheduling, including rescheduling and confirming appointments.
  • Process referrals and authorizations efficiently, ensuring complete and accurate documentation.
  • Manage appointment and referral queues effectively.
  • Ensure all necessary reports and external records are prepared for providers.
  • Communicate with patients regarding their appointments and necessary preparations.
  • Perform clinical tasks such as point-of-care testing, EKGs, and rooming patients.
  • Maintain clinical supplies and equipment, ensuring safety and readiness.
  • Handle payments and maintain cash drawer responsibly.
  • Process and scan patient documents according to procedures.
  • Maintain inventory and filing systems efficiently.
  • Support clinic operations, including opening and closing procedures.
  • Attend training and maintain job-specific knowledge and competencies.

What we need from you

  • Education: High School Diploma or GED preferred.
  • Experience: At least one year of relevant work experience required; higher education may substitute.
  • License/Certification: Medical Office Assistant or Medical Assistant preferred; BLS certification within 6 months of hire.
  • Skills: Computer proficiency, customer service, time management, multitasking, communication skills.
  • Physical Requirements: Ability to exert up to 50 lbs occasionally, with various physical activities as described.
  • Hazards and Working Conditions: Awareness of potential exposure to bodily fluids, chemicals, and environmental factors.
  • Travel: Occasional travel may be required.
