Job summary

The Alumni Communications Project Assistant at University Advancement of the University of Oregon supports communications projects within the UO Alumni Association under the direction of the Director of Alumni Communications. The project assistant processes requests, builds timelines, and coordinates with stakeholders to ensure timely delivery of marketing and communications initiatives.

The role also manages the UOAA project manager software, organizes project information, creates blueprints

Qualifications

  • Three years of office experience including two years at full performance level and experience generating documents.
  • Lead work responsibility or coordination of office procedures.
  • Excellent written and verbal communication skills.
  • Ability to interact, communicate, and work effectively with individuals from diverse backgrounds.

Responsibilities

  • Assist with the successful delivery of communications projects within the UO Alumni Association.
  • Process requests from staff for communications support and develop project timelines.
  • Follow up with internal stakeholders to support timely completion of marketing and communications projects.
  • Manage the UOAA project manager software and organize project information, blueprints, and request forms.
  • Provide project management training and technical support to staff.
  • Document and organize project management processes under established guidelines.

Position Summary

The Alumni Communications Project Assistant (project assistant) supports communications projects within the UOAA under the direction of the Director of Alumni Communications. The project assistant is responsible for assisting with the successful delivery of assigned projects with the UOAA and stakeholders and supports the use of standardized project management methodologies, processes, and tools.

Reporting to the Director of Alumni Communications, the project assistant processes requests from UOAA staff for communications support, develops project timelines, and follows up with internal stakeholders to support the successful and timely completion of marketing and communications projects.

Additionally, this position supports the day-to-day use of the UOAA’s project manager software, organizing and maintaining project information, project blueprints, and request forms. They improve the abilities of UOAA staff via project management training and technical support. The project assistant is also responsible for documenting and organizing project management processes under established guidelines.

This position requires the ability to balance short-term or urgent requests for assistance against long-term goals and projects, as well as the ability to prioritize requests within guidelines and priorities established by the Director. The project assistant position requires excellent written and verbal communication skills and the ability to build positive working relationships across the UOAA.

Minimum Requirements
  • Three years of office experience which included two years at full performance level and experience generating documents; and
  • Lead work responsibility or coordination of office procedures.

  • Commitment to promoting and enhancing diversity, equity, and inclusion
  • Familiarity with project management principles.
  • High competency in MS Office or similar software.
  • Ability to use cloud-based software tools for effective delivery of information.
  • Ability to quickly and independently learn software tools
  • Proven aptitude for using data to measure and analyze effectiveness of systems and procedures.
  • Excellent interpersonal and written communication skills; attention to detail.
  • A high level of organization and outstanding customer service.
  • Experience maintaining cooperative, respectful working relationships with staff, volunteers, and students from a wide range of backgrounds and perspectives in a service-oriented environment.
Preferred Qualifications
  • Experience working in project management software (Wrike preferred)
