Qualifications

  • Proficient with computers, email, and basic office software (Outlook, Word, Excel).
  • Familiarity with service/dispatch software (ServiceTrade, simPRO) is a plus.
  • Must be able to work independently, stay organized, and follow through on tasks.

Responsibilities

  • Schedule and coordinate fire alarm service calls.
  • Serve as the main point of contact for customer inquiries.
  • Create, update, and close service work orders.
  • Communicate ETAs, delays, and updates to customers and technicians throughout the day.
  • Create, update, and close service work orders in the company’s service/dispatch software.
  • Review technician reports and ensure all documentation is complete and accurate.
  • Coordinate with alarm monitoring companies and internal staff regarding signals, issues, or service needs.
  • Assist with ordering parts, tracking inventory needs, and preparing material requests for jobs.
  • Support billing by providing work order details, documentation, and follow-up notes.
  • Maintain organized communication between technicians, customers, and management.

Job Summary:
Williams Fire Sprinkler is seeking a detail-oriented and customer-focused Alarm Service Coordinator to support our fire alarm service operations. This position plays a key role in scheduling, dispatching, customer communication, and ensuring smooth daily operations for our alarm division. The ideal candidate is organized, professional, calm under pressure, and able to manage multiple priorities in a fast-paced environment.

  • Schedule and coordinate fire alarm service calls, testing, and emergency dispatch.
  • Serve as the main point of contact for customer inquiries, service work order updates, and scheduling needs.
  • Prioritize incoming service requests based on urgency, technician availability, and customer requirements.
  • Communicate ETAs, delays, and updates to customers and technicians throughout the day.
  • Create, update, and close service work orders in the company’s service/dispatch software.
  • Review technician reports and ensure all documentation is complete and accurate.
  • Coordinate with alarm monitoring companies and internal staff regarding signals, issues, or service needs.
