Qualifications

• 1+ year of industry-specific experience and/or qualifications.
• Good market and product knowledge.
• Effective interpersonal skills, including listening, understanding, and communicating clearly to obtain positive results.
• Proactive, strong organizational skills.
• Hazardous Materials certification preferred.
• Professional proficiency in English; Spanish, Portuguese a plus.

Responsibilities

• Assist Manager and Supervisor with department operations.
• Ensure smooth freight process flow and timely documentation.
• Coordinate with vendors for rates and services.
• Maintain accurate client and vendor billing.
• Improve department process efficiency and compliance.

Job Description

Scope of Position: Assist Manager and Supervisor with all aspects of the Air or Ocean Export Department, ensuring the proper and timely movement of freight, and providing exceptional customer service.

• Ensure smooth and timely freight process flow.
• Prepare various documents for international transportation.
• Coordinate and negotiate rates with contracted vendors for space and services.
• Ensure accurate and timely client and vendor billing.
• Ensure accurate and timely data entry into our operating system.
• Interact with customers to arrange their international export shipments, meeting customer service standards.
• Meet compliance with internal policies (OPs) and external government regulations or customer policies.
• Understand department process flow and constantly look for efficiency improvements.
• Ensure all customer SOPs are followed as per the DLSOP.
• Work with the team to meet KPI standards per company procedures.
• Monitor shipment reports to ensure total customer satisfaction.
• Handle overseas communications.

Support the supervisor in the following areas:

• Daily review of workflow and operational reports, updating event codes.
• Audit files and ensure operating process standards are met.
• Build and maintain strong relationships with vendors (airlines, trucking companies, others) and customers.
• Evaluate vendors at defined intervals per company policy, focusing on improvement areas and corrective action plans.

Finances:

• Ensure company credit procedures are followed and used effectively.
• Ensure accurate billing to clients for services performed.
• Accurate and timely billing of vendors and resolve accounting issues.
• Assist manager and supervisor in timely responses to pricing requests and market pricing.
• Participate in transition of new business / updates to existing business.
• Assist in retention calls and complete customer reviews with regular customers to document in CRS.

• Support the supervisor as needed.
• Be a team player and support colleagues and internal clients with timely information and assistance.
