Job summary

Collectors seeks a Legal Operations Specialist to join its in-house Legal team in Santa Ana, CA. This role sits at the intersection of legal, compliance, and operations, enabling scalable processes and AI-powered workflows. On-site four days a week, you’ll support contract, privacy, IP, and corporate operations while partnering with multiple business lines.

You’ll report to the General Counsel, work with global teams, and help scale AI-enabled legal processes from day one.

Qualifications

• 3+ years in legal operations, paralegal, or executive support at law firm or in-house
• Strong organizational and multi-stakeholder coordination
• Proficient with AI-powered legal tools and LLMs
• Clear written communication; able to draft routine documents
• Experience in privacy, compliance, or corporate governance a plus

Responsibilities

• Contract Operations: Manage contract intake, review workflows, renewal tracking, and repository hygiene; admin signature workflows across the legal team.
• Compliance & Privacy Operations: Support privacy program, data subject requests, cookie consent management, privacy assessments; manage compliance questionnaires.
• IP Operations: Support patent and trademark docket, deadline tracking, inventor coordination, outside counsel liaison.
• Corporate & Entity Operations: Support governance, entity management, subsidiary maintenance, registered agent coordination, board logistics.
• Legal Team Enablement: Manage mailboxes, triage inquiries, route to attorneys; support cross-functional projects (international expansion, M&A).
• AI-Powered Delivery: Leverage AI tools; maintain AI skill library and scale AI-powered workflows.
• Manage Legal’s mailboxes: triage matters, respond, route to attorneys.
