Job summary

Regional School District 19 is seeking an Agricultural Education Administrative Assistant at Edwin O. Smith High School. This is a 10‑month, 196‑workday position with a flexible, year‑round schedule and a four‑day workweek during portions of the year.

The role supports administrative tasks, recruitment/communications, finances, and program compliance for the Agricultural Education department. A high school diploma and 2+ years of related experience are required.

Qualifications

Responsibilities

  • Serve as primary contact for the Agricultural Education Department and assist students, families, staff, and community members.
  • Answer calls, respond to inquiries, and refer individuals to appropriate personnel.
  • Maintain department records, files, and confidential documentation.
  • Provide general administrative support to the Department Head and instructional staff.
  • Assist in recruitment, marketing, and outreach for enrollment and awareness.
  • Travel to sending schools as needed to support recruitment and counseling staff.
  • Maintain departmental financial accounts and prepare budget summaries.
  • Process purchase orders and track department purchases in Munis.
  • Prepare state and federal reports and assist with data collection and reporting.
  • Learn and use department software platforms (FFA, etc.) and support events and initiatives.

Agricultural Education Administrative Assistant

10‑Month Position (196 Work Days)

This position is a ten‑month Administrative Assistant position consisting of 196 workdays annually, with the work schedule distributed flexibly over a twelve‑month period to support the year‑round needs of the Agricultural Education Program. The schedule generally includes a four‑day‑per‑week workweek during portions of the school year, with additional workdays scheduled during summer months and other periods as program needs require. This position like other 10‑month positions is benefit eligible.

Please note: For this candidate's first year, the 196‑day work year will be prorated based on the candidate's first day of work.

Minimum Qualifications

The knowledge, skills, and abilities required for this position are typically acquired through graduation from high school and a minimum of two (2) years of responsible administrative, secretarial, or clerical experience. Experience in an educational setting is preferred.

Knowledge, Skills, and Abilities
  • Demonstrated knowledge of office procedures and the ability to learn and apply school district policies, procedures, and administrative practices.
  • Proficiency in Microsoft Office Suite, Google Workspace, spreadsheets, database applications, and other office technology tools.
  • Ability to learn and effectively utilize specialized educational software and student information systems, including but not limited to PowerSchool, Canvas, Munis, and online purchasing platforms.
  • Ability to collaborate with instructional technology staff, software vendors, and school personnel to improve data management, reporting, communication, and operational efficiency.
  • Strong interpersonal and communication skills, with the ability to interact professionally and courteously with students, families, staff, community members, and external partners.
  • Ability to analyze situations, solve practical problems, exercise sound judgment, and manage multiple priorities in a fast‑paced environment.
  • Ability to perform basic bookkeeping and financial record‑keeping functions accurately and efficiently using available technology resources.
  • Strong organizational skills with the ability to maintain accurate records, files, databases, and confidential information.
  • Demonstrated initiative, adaptability, and willingness to learn new technologies, procedures, and responsibilities.
  • Familiarity with Agricultural Education programs, Career and Technical Education (CTE), and/or Future Farmers of America (FFA) programs is preferred.
Essential Job Functions
Administrative Support
  • Serve as a primary point of contact for the Agricultural Education Department by providing information, assistance, and direction to students, families, staff, and community members.
  • Answer and direct telephone calls, respond to inquiries, and refer individuals to appropriate personnel as needed.
  • Maintain department records, correspondence, files, and documentation in an organized and confidential manner.
  • Provide general administrative support to the Agricultural Education Department Head and instructional staff.
Program Recruitment and Communications
  • Assist in the development and implementation of recruitment, marketing, and outreach efforts that support enrollment and awareness of the Agricultural Education program.
  • Establish and maintain positive working relationships with guidance counselors and administrators from sending schools.
  • Create, edit, and distribute promotional and recruitment materials using graphic design and editing platforms such as Canva.
  • Assist prospective students and families with the Agricultural Education application process.
  • Travel to sending schools, as needed, to support recruitment efforts and assist applicants and school counseling staff.
Financial and Purchasing Responsibilities
  • Maintain and monitor departmental financial accounts, including student activity accounts and program‑related expenditures.
  • Prepare budget summaries and financial reports for the Department Head.
  • Process purchase orders and financial transactions through the district's Munis financial management system.
  • Coordinate the ordering, receiving, and tracking of instructional materials, supplies, equipment, and other department purchases.
  • Maintain accurate purchasing and inventory records.
Program Compliance and Reporting
  • Prepare, complete, and submit required state and federal Agricultural Education reports, forms, and documentation within established timelines.
  • Maintain records necessary to support program compliance, audits, and grant requirements.
  • Assist with data collection, analysis, and reporting related to Agricultural Education and FFA program activities.
Additional Responsibilities
  • Learn and effectively utilize FFA, agricultural education, and other department‑specific software platforms and websites.
  • Support special events, meetings, student activities, and program initiatives as assigned.
  • Perform other related duties and responsibilities as assigned by the Agricultural Education Department Head, Principal, or Superintendent.

SALARY: 2026‑2027 hourly rate is $26.36‑$30.02/hr. Salary is dependent on experience. This is a 12‑month position.
