This is a 100% remote role, but the ideal candidate will be willing to work Eastern Time Zone hours.

Job Summary

As an Agent Onboarding Specialist (AOS), your role involves ensuring a seamless onboarding experience for all agent affiliations at Coldwell Banker. You’ll be responsible for coordinating and overseeing the onboarding process, making sure each affiliation is smooth, valuable, and sets up agents for success.

Essential Job Duties

1. Manage the onboarding experience for all agents, including creating and processing new agent affiliations through OnBase and related systems.
2. Assist with applications or transfers of agent licenses and MLS/Realtor Board accounts.
3. Collect and vet DBA, team, or assistant information for new agents/teams.
4. Act as primary liaison with Licensing to ensure compliance.
5. Manage onboarding checklists and coordinate with internal teams to ensure proper setup and access to tools.
6. Provide initial overview of DESK, focusing on account activation and profile setup.
7. Assist with uploading headshots, bios, and contact info into marketing products.
8. Support initial marketing material orders, such as signage and business cards.
9. Coordinate the 'warm hand-off' to branch leaders and Agent Support Teams after onboarding.

Branch Leader Support

1. Maintain communication with branch leaders regarding onboarding.
2. Support recruiting efforts for top-tier agents as needed.

Qualifications

• At least 2 years of customer service experience; real estate office experience preferred.
• Strong communication skills, both written and verbal.
• Proficiency with PCs, Macs, and software such as Microsoft Office, Adobe Acrobat, and Power BI.
• Effective communication with diverse audiences.
• Ability to work remotely with discipline and productivity.
• Customer-focused, creative problem solver, adaptable to workload changes.
