This is a 100% remote role; however, the ideal candidate will be willing to work Eastern Time Zone hours.

Job Summary

As an Agent Onboarding Specialist (AOS), your role involves ensuring a seamless onboarding experience for all agent affiliations at Coldwell Banker. You’ll be responsible for coordinating and overseeing the onboarding process, making sure each affiliation is smooth, valuable, and sets up agents for success.

Essential Job Duties
  • Manage the onboarding experience for all agents.
  • Create and process all new agent affiliations through OnBase and associated systems, including digital signing systems.
  • Assist with the application or transfer of the agent’s state license.
  • Assist with the application or transfer of the agents' MLS or Realtor Board accounts.
  • Collect and vet DBA, team, or assistant information for new agents/teams.
  • Act as primary liaison with Licensing to ensure compliance with regulations.
  • Manage the onboarding checklist and follow up with internal partners to ensure new agents are properly set up and have access to all tools.
  • Provide initial overview of DESK, focusing on account activation, enrollment, and profile setup.
  • Assist with uploading headshots, bios, and contacts into marketing products.
  • Assist with initial marketing material orders, such as signage, business cards, badges.
  • Manage the hand-off to branch leaders and support teams after onboarding.
Branch Leader Support
  • Facilitate communication with branch leaders regarding onboardings.
  • Support recruiting efforts for top-tier agents as needed.
Qualifications
  • 2+ years customer service experience preferred; real estate office experience strongly preferred.
  • Strong written and verbal communication skills.
  • Proficient in various operating systems and software, including Microsoft Office, Adobe Acrobat, Power BI.
  • Effective communication with diverse audiences.
  • Ability to work remotely with discipline and productivity.
  • Customer-focused, creative problem solver.
  • Flexible and adaptable workload and schedule.
