JOB DESCRIPTION

Job Title: Agency Support Float

Department: Administration/Agency-Wide Support

Reports To: CEO, VP of Operations /Director of assigned department

FLSA Status: Non-exempt

OBJECTIVE

To provide flexible operational support throughout Gompers based on Agency and program needs. The Receptionist/Float is a cross-trained, agency-wide support position that may provide coverage and assistance in multiple areas, including Front Desk/Administration, Direct Support programs, Transportation, and Employment Services. The employee is responsible for performing assigned duties safely, professionally, and in accordance with Gompers policies and procedures, member‑specific requirements, required training, and the direction of the assigned Supervisor or Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

1. Participate in the daily operations of the Front Desk and serve as a professional first point of contact for members, families, visitors, vendors, staff, and community partners.

2. Provide clerical and administrative assistance to the Vice President of Operations, CEO, Human Resources, Directors, and other Administrative Staff as assigned.

3. Answer and route incoming calls; greet and appropriately direct visitors; and provide general information in accordance with Gompers policies and procedures.

4. Follow established building access, visitor, and Front Desk safety procedures, including monitoring entry points and verifying individuals before granting access when required.

5. Maintain confidentiality of member, employee, and Agency information and follow established procedures regarding the discussion, release, paging, and handling of confidential information.

6. Assist members and providers with established clock‑in and clock‑out procedures as needed and communicate identified issues or missed punches to the appropriate supervisor.

7. Promptly communicate member absences, late arrivals, transportation‑related information, and other Front Desk notifications to the appropriate department or leadership staff.

8. Maintain Front Desk administrative materials, including member locator information, telephone extension lists, forms, schedules, and other assigned records.

9. Prepare employee identification badges and coordinate required information with Human Resources in accordance with established procedures.

10. Assist with approved purchasing, ordering, inventory, receipt, and distribution of office supplies and other Agency materials.

11. Assist with copying, filing, data entry, preparation of flyers and administrative materials, and other general office duties.

12. Follow established notification procedures when law enforcement, Adult Protective Services (APS), emergency personnel, or other official agencies arrive or contact the Front Desk.

13. Maintain an organized, professional, and presentable Front Desk and reception area.

14. Perform other duties as assigned within the scope of the position and the employee’s training and qualifications.

FLOAT STAFF DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as necessary.

1. This is a full‑time position. In addition to the Front Desk schedule, the employee may be assigned additional department tasks based on Agency and program needs.

2. Provide temporary coverage and operational support to various Gompers departments, programs, or locations as assigned.

3. Light travel between Gompers locations or other approved work locations may be required as needed.

4. Report to the assigned department and follow the direction of the Supervisor or Director responsible for that department while completing the assignment.

5. Complete orientation and/or training required for assigned Float responsibilities before independently performing duties when applicable.

DIRECT SUPPORT STAFF DUTIES AND RESPONSIBILITIES

1. Provide direct support and supervision to members when assigned to a program or service area.

2. Support member participation in scheduled activities, routines, community integration, skill‑building, and other program activities as directed.

3. Follow member‑specific plans, safety requirements, behavioral supports, and service requirements for which the employee has been trained.

4. Assist members with personal care, mobility, meals, activities of daily living, and other supports when assigned, trained, and authorized.

5. Maintain required member supervision and staffing ratios as directed by program leadership.

6. Observe and promptly report health, safety, behavioral, or other concerns and complete required program documentation and incident reporting.

TRANSPORTATION / DRIVER DUTIES AND RESPONSIBILITIES

1. Transport members to and from Gompers programs, employment sites, community activities, residences, or other authorized locations when assigned and qualified to drive.

2. Operate Agency vehicles safely and in accordance with applicable laws, Gompers Transportation policies, and assigned route instructions.

3. Complete required vehicle and safety inspections and promptly report vehicle or safety concerns.

4. Assist members with safe entry into and exit from Agency vehicles as needed.

5. Ensure members, wheelchairs, mobility devices, and required equipment are properly secured in accordance with training and Gompers procedures.

6. Maintain required transportation documentation and comply with applicable driver qualification, motor vehicle record, training, and testing requirements.

EMPLOYMENT SERVICES DUTIES AND RESPONSIBILITIES

1. Provide coverage and support within Employment Services programs and community employment sites as assigned.

2. Assist members with vocational activities, work assignments, job‑related skills, and employment goals under the direction of Employment Services leadership.

3. Provide appropriate supervision and support to members at Agency or community employment sites.

4. Follow member‑specific plans, employer/site expectations, safety procedures, and Employment Services requirements for which the employee has trained.

5. Assist with production, worksite, or project‑related activities as assigned and appropriate to the employee’s training.

6. Complete required Employment Services documentation and promptly communicate member, worksite, staffing, or safety concerns.

SUPERVISORY RESPONSIBILITIES None.

AUTHORITY

This person shall have the authority to commence and carry out the responsibilities of this position subject to Gompers policies, procedures, and the verbal and written direction of the Vice President of Operations, CEO, Director of the assigned department, and/or Director of Human Resources, as applicable.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or equivalent required. Two years of receptionist, clerical, administrative, or related office experience is preferred.

Experience with standard office equipment, including computers, telephones, printers, scanners, and copy machines.

Working knowledge of filing systems, general office procedures, and routine record maintenance.

Must be able to communicate effectively and professionally in person, in writing, and by telephone.

Must demonstrate professionalism, organization, attention to detail, sound judgment, confidentiality, and the ability to work effectively with staff, members, families, visitors, and community partners.

General working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.

General working knowledge of social media and the ability to assist with posting Agency stories or information as assigned.

LANGUAGE SKILLS Bilingual is a plus but not required.

MATHEMATICAL SKILLS Basic calculations.

REASONING ABILITY Ability to exercise sound judgment, follow established procedures and member‑specific instructions, prioritize responsibilities, adapt to changing assignments, and multi‑task in varied work environments.

CERTIFICATES, LICENSES, REGISTRATIONS Must maintain all certifications, licenses, clearances, and training required for assigned duties. Driver assignments require a valid driver’s license and compliance with Gompers driver qualification requirements. Direct Support and Employment Services assignments require applicable department‑specific training before independently performing duties.

PHYSICAL DEMANDS

The position may require prolonged sitting, standing, walking, bending, reaching, pushing, pulling, and movement throughout Gompers facilities and community work locations.
