Job summary

CarePortal LLC is seeking an Agency Engagement Specialist to manage a portfolio of agencies, provide ongoing support, and improve request quality and outcomes. You will be the primary day-to-day contact for agencies after onboarding, ensuring timely responses and increased engagement across markets.

Responsibilities include monitoring submission activity, reinforcing best practices, coordinating with platform support, and contributing to scalable engagement processes.

Qualifications

  • Experience and skills in communication and relationship management.
  • Ability to manage a portfolio of agencies and prioritize effectively.
  • Attention to detail and strong follow-through.
  • Comfort with virtual communication and customer support tools.
  • Experience with CRM systems and tracking interactions preferred.
  • Understanding of agencies, caseworkers, and the social services system.

Responsibilities

  • Manage a defined portfolio of agencies with consistent communication and support.
  • Monitor submission activity and proactively increase usage and quality.
  • Serve as primary contact for questions, guidance, and support.
  • Coordinate with Platform Support for technical issues as needed.
  • Monitor metrics to increase activity and improve engagement.
  • Provide feedback to improve engagement tools and playbooks.
  • Receive agencies from Onboarding after first activity and track progress.
  • Engage Network Leaders when local support is needed to move requests toward completion.

We mobilize robust Care-Sharing Networks and lead with Courage, Humility, and Excellence.We do this through the local Church and in collaboration with child-serving organizations, businesses, and people who care—that’s where you come in.Position SummaryThe Agency Engagement Specialist is responsible for managing a portfolio of agencies to ensure they remain active, supported, and effective in submitting requests that connect children and families to care.This role serves as the primary day-to-day contact for agencies following onboarding, providing ongoing support to increase usage, improve request quality, and strengthen outcomes.Success in this role is defined by consistent submission activity, improved request quality, and increased connection between agencies and the community. Network health metrics, scorecards and KPIs will be utilized to help gauge performance, however, success in this role will be measured across all of the responsibilities listed below.Your Responsibilities Include:Portfolio ManagementManage a defined portfolio of agencies, providing consistent communication and supportMonitor submission activity and proactively engage agencies to increase usageReinforce behaviors that lead to strong request quality and engagementAgency SupportMaintain strong, trust-based relationships through ongoing communicationServe as the primary point of contact for questions, guidance, and supportResolve most customer issues directly in a timely and effective mannerCoordinate with Platform Support for more technical issues when neededIncreased Engagement RateMonitor submission metrics and identify opportunities to increase activitySupport agencies in improving request quality and approval ratesReinforce practices that lead to stronger community responseProcess Consistency & ImprovementFollow established engagement processes and standardsProvide feedback to improve engagement tools and playbooks contentSupport efforts to increase efficiency and scalability in engagementCoordination & AlignmentReceive agencies from Onboarding following first activityMaintain awareness of Network Development activity within assigned marketsEnsure accurate tracking of communication and activity in CRMSupport ecosystem balance through participation in Network Leader facilitated strategy meetings to identify, discuss and solve issues and opportunities.Request Monitoring & Response ActivationMonitor unmet requests within assigned portfolio and take proactive action to increase responsesEngage churches to encourage timely response and coordinate with agencies to review and accept responsesCollaborate with other Engagement Specialists to support shared outcomes across marketsEngage Network Leaders when local support is needed to help move requests toward completionWhat You Bring to the Organization:Experience & SkillsStrong communication and relationship management skillsAbility to manage a portfolio of customers and prioritize effectivelyHigh attention to detail and follow-throughComfort with virtual communication and customer support toolsAbility to balance responsiveness with efficiencyExperience with CRM systems and tracking customer interactions preferredUnderstanding of agencies, caseworkers, and the social services systemPassion for CarePortal’s mission and commitment to Courage, Humility, and ExcellenceThe above description is not intended to be comprehensive, but rather a focused list of priorities.
