Job summary

NEOMED—Northeast Ohio Medical University—seeks an Affiliation Programs and Communications Coordinator to support communications, events, and coordination across affiliation objectives. The role strengthens visibility, engagement, and execution for university researchers, clinical faculty, and partner institutions.

Reporting to the Director of Strategy and Transformation, you will collaborate with objective leads and project managers to move deliverables forward, supporting research focus areas

Qualifications

  • Bachelor’s degree in Communications, Marketing, Public Relations, Journalism, or a related field.
  • Minimum one year of related experience in administrative coordination, communications, marketing, event planning, research support, higher education, healthcare, or a related environment.

Starting Salary Range: $49,120– $53,000, commensurate with experience

During the first six months of employment, this position will be fully in person, with three days per week at NEOMED’s Rootstown campus and two days per week at the Cleveland Health Innovation Center in Cleveland. After six months, the position will be eligible for a hybrid work arrangement, with up to two remote workdays per week.

Summary

The Affiliation Programs and Communications Coordinator provides administrative support, communications and marketing, and event planning for affiliation objectives within NEOMED’s major affiliation portfolio, supporting research focus areas and innovation focused objectives involving university researchers and clinical faculty from affiliated hospital partners by strengthening coordination, visibility, engagement, and execution across initiatives. This role helps expand program awareness, coordinate research-related events, and builds a digital presence that reflects the impact of NEOMED’s academic and research community.

Reporting directly to the Director of Strategy and Transformation, this role works closely with affiliation objective leads and collaborates with project managers assigned to move deliverables forward.

Principal Functional Responsibilities

Administrative Support and Coordination: Provides administrative support for research objectives within the affiliation portfolio, including scheduling, calendar coordination, meeting logistics, agenda preparation, minutes, follow-up, and routine correspondence. Supports committee leads, research area faculty, clinical faculty partners, and project managers by preparing materials, maintaining documentation, and coordinating administrative next steps. Manages purchasing, travel, reimbursements, invoice processing, P-card reconciliation, expense documentation, and equipment tracking. Maintains records, shared files, contact lists, calendars, and tracking tools to support communication, deadlines, and deliverables.

Communications, Marketing, and Digital Engagement: Develops communications and digital content that increase awareness of affiliation objectives, research focus areas, faculty expertise, student experiences, program outcomes, and milestones. Collaborates with faculty, staff, students, project managers, and affiliated hospital partners to gather stories, align messaging, and support a cohesive brand experience. Creates and updates content for websites, newsletters, brochures, presentations, and social media platforms, including LinkedIn, Instagram, Facebook, X, and YouTube. Translates complex scientific, clinical, and academic information into accessible content that supports program visibility, research engagement, and affiliation-related communications.

Event Planning and Outreach Support: Plans and coordinates research-focused events, seminars, workshops, conferences, student engagement activities, networking events, and partner meetings. Manages event logistics, including registration, room reservations, technology, catering, materials, speaker coordination, agendas, communications, photography or video coordination, live social coverage, and follow-up. Supports recruitment and outreach for prospective students and research partners through targeted campaigns, event promotion, and materials highlighting research opportunities, outcomes, and student experiences.

Program Tracking and Continuous Improvement: Maintains tracking tools for communications activity, engagement, partner outreach, student interest, events, administrative workflows, and deliverable-related updates. Prepares routine updates and basic reports for leadership, committee leads, project managers, and stakeholders. Tracks communication outcomes, social media analytics, event participation, marketing effectiveness, and audience engagement to inform future outreach strategies. Identifies opportunities to streamline processes, improve communication flow, strengthen event planning, and enhance coordination across research areas.

Other Duties: Perform other duties as assigned.

Qualifications
  • Bachelor’s degree in Communications, Marketing, Public Relations, Journalism, or a related field.
  • Minimum one year of related experience in administrative coordination, communications, marketing, event planning, research support, higher education, healthcare, or a related environment.
  • Strong written, editing, verbal communication, storytelling, and organizational skills, with the ability to manage multiple priorities, deadlines, events, stakeholders, and work locations.
Preferred Qualifications
  • Experience in higher education, graduate education, academic medicine, healthcare, research administration, or scientific/research environments.
  • Experience supporting or working with interdisciplinary and institutional teams.
  • Experience creating content for websites, newsletters, social media, presentations, recruitment materials, advertisements, or digital campaigns.
  • Experience coordinating events, outreach activities, webinars, conferences, seminars, or partner meetings.
Physical Requirements

Must be able to utilize a phone, computer and other office equipment.
