Palo Alto University is seeking an Events and Operations Specialist to lead the production and logistics for SPUR's advancement events, including the Annual Gala, donor cultivation gatherings, and commencement activities.

The role focuses on end-to-end event execution, timelines, budgets, and vendor coordination, with on-site leadership and strong stakeholder collaboration. A hybrid, Bay Area-based position with demanding event schedules.

Formación

• Bachelor's degree required in event management, communications, hospitality, marketing, public relations, or related field.
• Two or more years of progressive experience in event production, advancement operations, or related role.
• Excellent organizational and project management skills under deadline pressure.
• Strong written and verbal communication, guest communications, briefings, and post-event reports.
• Experience with invitation/RSVP systems, event registration platforms, and CRM tools (HubSpot preferred).

Responsabilidades

• Own end-to-end production and logistics of SPUR's core advancement events (Annual Gala, donor meetings, cultivation gatherings).
• Manage all event logistics (venue, catering, AV, signage, transportation, staffing, accessibility, on-site coordination).
• Develop timelines, run-of-show, vendor contracts, budget tracking, and post-event reports for SPUR events.
• Serve as primary on-site coordinator ensuring seamless execution and relationship-building.
• Build and maintain a vendor network reflecting PAU standards (caterers, venues, AV, photographers).
• Lead commencement week production including events, invitations, RSVPs, and coordination with Registrar.
• Design invitation/RSVP systems and manage guest lists, communications, and accessibility needs.
• Maintain SPUR event files, timelines, vendor relationships, and institutional memory.

Bachelor's degree in event management, communications, hospitality, marketing, public relations, or a related field
