Admissions Support Specialist

Classification: Non-Exempt
Reports To: Administrator
Schedule: On-Site

Join Our Team

We are looking for an organized, personable, and detail-oriented Admissions Support Specialist to help create a smooth and welcoming admissions experience for residents and their families.

This is an excellent opportunity for someone who enjoys working with people, staying organized, coordinating multiple moving pieces, and being an important part of a healthcare team. You’ll work closely with facility leadership, nursing, admissions, and the business office while helping residents and families navigate the admission process.

If you have strong administrative skills, excellent customer service, and enjoy a fast-paced environment where no two days are exactly the same, we’d love to meet you.

What You’ll Do

As our Admissions Support Specialist, you’ll help coordinate the admission process from referral through arrival while providing administrative support throughout the facility.

Key responsibilities include:

  • Coordinate and facilitate the admissions process while ensuring required documentation is completed accurately and on time.

  • Communicate with hospitals, insurance providers, clinical teams, residents, and families regarding referrals and admissions.

  • Assist with insurance verification, financial eligibility, authorizations, and other pre-admission requirements.

  • Prepare, organize, complete, and maintain admission paperwork and resident records.

  • Help ensure resident pay status and census information are accurate and current.

  • Provide backup support to the Business Office Manager (BOM), including maintaining daily census records when needed.

  • Conduct facility tours and provide prospective residents and families with helpful information about our services.

  • Work closely with nursing, admissions, and the business office to ensure resident information is communicated accurately and efficiently.

  • Track referrals and admissions and communicate potential barriers or delays to leadership.

  • Assist with audits, reports, recordkeeping, and other administrative projects.

  • Provide excellent customer service to residents, families, visitors, referral partners, and staff.

  • Assist with scheduling, transportation coordination, document preparation, correspondence, and facility phone coverage.

  • Provide backup assistance with office and medical supply ordering.

  • Participate in performance improvement initiatives and facility assessments.

  • Maintain confidentiality and follow HIPAA, infection control, safety, and facility policies.

What We’re Looking For

We’re looking for someone who is:

  • Friendly, professional, and comfortable working with residents and families.

  • Highly organized with strong attention to detail.

  • Able to manage multiple priorities in a busy environment.

  • A strong communicator who enjoys working with different departments.

  • Dependable and able to work independently while also being a team player.

  • Comfortable handling confidential and sensitive information.

  • Proficient with general office technology, documentation, email, and data entry.

  • Customer-service focused with patience, tact, and good judgment.

Qualifications
  • High school diploma or equivalent required.

  • At least one year of experience in admissions, administrative support, healthcare, office coordination, or a related role preferred.

  • Experience in skilled nursing, long-term care, senior living, or another healthcare environment is preferred but not required.

  • Knowledge of insurance verification, authorizations, resident financial eligibility, or long-term-care pay sources is a plus.

  • Experience with admissions paperwork, medical records, census management, or healthcare administrative systems is a plus.

Why This Role Matters

Admissions is often one of the first experiences a resident and their family have with our facility. You’ll play an important role in making that experience organized, welcoming, and as stress-free as possible.

You’ll also have the opportunity to develop experience across healthcare admissions, insurance and authorization processes, business office operations, resident services, and facility administration—making this a great position for someone interested in growing their career in healthcare administration.

Physical & Scheduling Requirements

This is an on-site position within a healthcare facility. The role requires the ability to sit, stand, walk, bend, reach, and occasionally lift or carry up to 40 pounds. The position may involve exposure to infectious illnesses and emotionally challenging situations associated with a healthcare environment.

Flexibility to assist outside normal business hours, including occasional weekends or holidays, may be required based on facility needs.

We’re looking for someone who wants to be part of a team, make a difference for residents and families, and help keep the admissions process moving smoothly from start to finish.
