Job description

Dawn Hill Home for Rehab & Healthcare is seeking an organized, personable, and detail-oriented Admissions Director to coordinate the admissions process and help residents and families feel informed and supported throughout their transition into our community.

In this role, you will work closely with residents, families, facility departments, and support agencies to ensure admissions are well organized, required documentation is complete, and rooms are ready for arrival. The ideal candidate brings strong communication skills, excellent customer service, and consistent follow-through.

Key Responsibilities
  • Coordinate referrals and inquiries. Enter referral information into the admissions database, respond to phone calls, and maintain the waiting list through periodic calls and mailings.

  • Welcome residents and families. Provide facility tours, answer questions about the admissions process, and coordinate the sign-in process for new admissions.

  • Manage admissions paperwork and insurance verification. Compile admission packets, verify insurance for new admissions, and ensure paperwork is complete before forwarding it to the business office. Follow up with responsible parties and family members to obtain missing documentation.

  • Confirm room readiness. Ensure rooms are in move-in condition before residents arrive and coordinate any necessary follow-up with the appropriate department heads.

  • Communicate with partners and service providers. Maintain the partner rotation list, notify partners of new admissions, and fax face sheets to the pharmacy, laboratory, and other ancillary agencies.

  • Maintain accurate resident information. Periodically update long-term residents’ business files, including insurance information and responsible-party details, and file documents in resident medical records.

  • Support facility operations. Perform other duties as requested by the Administrator.

Teamwork and Resident Care Expectations

Participate in mandatory in-services and staff meetings, assist with the orientation and training of new staff, and collaborate with colleagues to improve processes and address concerns.

Uphold residents’ rights, privacy, dignity, and confidentiality. Follow facility safety and infection control procedures, promptly report suspected abuse or neglect, and communicate observed changes in a resident’s condition to the charge nurse.

Qualifications
  • An associate degree in Business Administration or a related field is required.

  • Proficiency in Microsoft Office and strong organizational, communication, and customer service skills.

  • Ability to read, write, and speak English in an understandable manner.

  • Ability to work independently with flexibility and personal integrity while collaborating effectively with residents, families, staff, and support agencies.

Physical and Functional Requirements

Candidates must be able to perform the essential functions of the position, with or without reasonable accommodation, including:

  • Moving intermittently throughout the workday and standing for extended periods.

  • Bending, kneeling, lifting, pushing, pulling, and moving residents, equipment, and supplies in excess of 50 pounds throughout the day, with occasional lifting up to 100 pounds.

  • Using vision and hearing, with assistive devices as needed, to fulfill the responsibilities of the position.

The role also requires the ability to interact patiently and professionally with residents who are ill, have disabilities, or may be experiencing emotional distress or challenging behaviors.
