POSITION PURPOSE:
The Admissions Assistant supports Enrollment Services by providing services to prospects, families, and educators. The primary responsibilities include training, supervising, and providing leadership to student workers. The role involves processing inquiries and applications, maintaining an organized office, and communicating with prospective students and parents. Additionally, the position entails presenting to and interviewing prospective students and covering college fair conflicts as needed.
SALARY RANGE: $48,000–$50,000
Essential Functions and Duties:
Office Management
- Answering main phone line and transferring calls
- Preparing weekly labels and mailings
- Checking, organizing, and filing incoming mail
- Metering outgoing mail and bringing it to the mailbox
- Logging data for inquiries via telephone, mail, and email
- Assigning work to student ambassadors
- Organizing office supplies and placing orders
- Responding to questions via telephone, mail, and email, including tele-counseling prospects and applicants
- Scheduling appointments with prospective students for counselors
- Checking faxes and updating student records
- Making copies and maintaining files
- Conducting monthly inventory of Admissions materials and replenishing stock
- Preparing travel bags for staff/faculty covering college fairs
- Preparing publications, packing boxes, and sending materials via courier
- Scanning documents and forwarding to appropriate offices
- Managing the Admissions Master Events calendar
Student Ambassador Supervision
- Hiring student ambassadors, telecounselors, and tour guides for events
- Creating training programs for student ambassadors covering tours, data entry, office management, phone etiquette, and events
- Coordinating work schedules and assigning daily tasks
- Auditing work and providing feedback
- Reporting issues and successes to management
- Providing annual performance evaluations
- Meeting weekly with student managers
- Processing bi-weekly payroll
Preparation for Admissions On-Campus Events
- Communicating event details to prospective students
- Creating events and communications in Technolutions Slate
- Reserving rooms and resolving scheduling conflicts
- Preparing physical materials and setting up event spaces
- Contacting vendors and confirming attendance
- Conducting follow-up calls and sending thank-you notes
- Submitting budget requests
Applicant and Prospect Management
- Compiling and maintaining applicant files
- Processing applications and verifying documents
- Fulfilling information requests
- Updating databases and following up with applicants
- Coordinating with Student Accounts for enrollments
- Reviewing enrolled student files each semester
Prospect and Applicant Interaction
- Interviewing prospective students
- Presenting at information sessions
- Touring prospective students
- Covering college fair conflicts as needed
Other Duties
- Attending Admissions meetings
- Participating in college-wide programs
- Collaborating with other departments
- Performing additional duties as assigned
- Providing backup front desk support when necessary
Qualifications:
- Education/Certification: Bachelor's degree required
- Knowledge: Proficiency in Microsoft Office Suite
- Experience: Admissions or office experience preferred; data entry experience preferred
- Skills/Abilities: Ability to multitask, strong verbal and written communication skills, well-organized
