Job summary

American Pool in Ft. Lauderdale, FL is seeking a dependable Administrative Assistant to join our team. This full-time, in-office role centers on keeping the office organized and running smoothly with strong communication and data-entry skills.

You will support management and staff, interact with customers and vendors, and help with scheduling, reports, and document preparation. Spanish is a plus.

Qualifications

Responsibilities

  • Answer and direct incoming phone calls in a professional and friendly manner.
  • Provide administrative support to management and staff.
  • Enter and maintain data accurately.
  • Prepare emails, correspondence, forms, reports, and other documents.
  • Maintain organized electronic and paper filing systems.
  • Assist with scheduling, meetings, and day-to-day office needs.
  • Maintain customer and vendor contact information.
  • Prepare and track reports and paperwork.
  • Order office supplies and assist with vendor communications.
  • Process and reconcile expense reports.
  • Assist customers and vendors with questions and requests.
  • Help maintain office policies and procedures.
  • Perform general administrative and clerical duties as needed.
  • Work as part of a team to ensure the office operates efficiently.

American Pool specializes in commercial pool management, staffing, maintenance, and repair & renovation, with a focus on safety across the East Coast and select Southwest markets.

We are looking for a dependable, organized, and friendly Administrative Assistant to join our team in our Ft. Lauderdale, FL office. This is an important position for someone who enjoys staying busy, helping others, and keeping an office organized and running smoothly.

The ideal candidate is a self-starter with excellent communication skills, strong attention to detail, and the ability to manage multiple tasks throughout the day. You will work closely with management, employees, customers, and vendors, helping with the day-to-day administrative needs of the company.

Key Responsibilities
