Who We’re Looking For

Toyota’s Design Engineering Vehicle team supports engineering operations by coordinating the administrative, financial, technical, and workplace activities that keep the department running effectively. We are looking for an experienced Administrator who thrives in a collaborative environment, delivers exceptional support, and brings organization and attention to detail to a wide range of responsibilities. In this role, you will support engineers and management while helping the department manage budgets, schedules, travel, technical information, onboarding, workplace needs, and team activities. Your work will strengthen operational efficiency, support informed decision making, and help team members remain focused on achieving department and Toyota business objectives.

What You’ll Be Doing

Success in this role means anticipating team needs, building reliable processes, and ensuring important administrative and technical activities are completed accurately and on time. Each day will offer opportunities to collaborate across the organization, solve problems, and improve how the department operates.

Manage budget activities, including purchase requisitions, invoices, spending analysis, monthly accruals, expense reclassification, and supporting documentation.

Coordinate business travel and expense reporting while helping team members follow applicable travel and expense policies.

Manage leadership schedules, meeting communications, room reservations, purchasing card transactions, and approval workflows.

Support onboarding for new hires, cooperative education students, contract engineers, and visiting team members to create an organized and welcoming experience.

Maintain department organization charts, seating plans, workplace information, office supplies, business card orders, and mail and package services.

Coordinate facility and technology support requests, maintain emergency evacuation information, and support workplace organization and safety activities.

Plan and deliver department events, team building activities, and other experiences that strengthen collaboration and team engagement.

Maintain and distribute technical information, support document retention requests, organize technical records, and update engineering knowledge materials in department systems.

What You Bring

10+ years of experience providing administrative, office, or department support in a professional environment. Demonstrated experience building productive working relationships and supporting team members across multiple organizational levels. Experience delivering responsive customer service while contributing to shared team goals and priorities. Strong written and verbal communication experience, including preparing clear documents, presentations, and business communications. Advanced experience utilizing Microsoft Word, PowerPoint, Excel, Teams, and OneNote, including document templates, presentations, formulas, graphs, and pivot tables. Experience handling sensitive or proprietary information with sound judgment and confidentiality.

Added Bonus If You Have

Working knowledge of Ariba, SAP, or similar accounting and financial management systems. English and Japanese bilingual communication skills that help you collaborate across teams. Experience developing and maintaining SharePoint sites. Experience using technical engineering systems for information research, parts ordering, or technical information release. Toyota training or experience applying structured problem-solving and continuous improvement practices.
