Position Summary
The Administrative Assistant will support the Director of Human Resources and manage day‑to‑day operations of the department. Key responsibilities include calendar management, meeting coordination, event execution, store operations, and special projects.
Essential Duties and Responsibilities
- Proactively manage the Director’s calendar, scheduling meetings and appointments, and ensuring timely reminders for all critical deadlines and commitments.
- Prepare meeting agendas, gather relevant documents and materials, ensure necessary technology and meeting spaces are available and operational, assist with presentation slides preparation, take detailed minutes, and follow up on action items.
- Perform general administrative duties, including scanning, filing, faxing, copying, and printing.
- Execute all aspects of team experience events, activities, and initiatives.
- Own operations of the internal store, including inventory, ordering, and fulfilling orders.
- Greet and direct all internal and external guests in a professional and courteous manner.
- Undertake special projects and assignments as directed by the Director of Human Resources.
- Track and submit expense reports for the Director in accordance with company policies.
- Run errands as needed.
- Perform other duties as assigned.
Required Education and Experience
- High school diploma or GED.
- Minimum two (2) years of experience performing administrative related duties.
- Demonstrated experience in writing, editing, and proofreading for diverse audiences.
- Professional experience in employee engagement or a related role.
- Proof of automobile liability coverage.
Preferred Education and Experience
- Associate’s degree in human resources, business administration, or related field.
- One (1) year of assisting with events (internal or external).
Knowledge, Skills, and Abilities
- Intermediate proficiency of Microsoft applications including but not limited to Word, Excel, PowerPoint and Teams.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong problem‑solving and critical‑thinking skills.
- Ability to handle highly confidential information with the utmost discretion.
Physical Demands and Work Environment
- Prolonged periods of sitting at a desk and working on a computer.
- Frequently required to travel by car.
- Occasionally required to stand, walk, and move items up to 15 pounds.
Language Skills: English.
