DETAILED JOB DESCRIPTION
  • Manages and prioritizes complex leadership calendars, aligning time with strategic and operational priorities.
  • Drives and coordinates leadership meetings, including agendas, materials, decision tracking, and follow-through.
  • Represents and manages communications on behalf of leadership, including sensitive and complex correspondence.
  • Creates and delivers executive-level materials tied to operational, strategic, or financial initiatives.
  • Oversees and ensures data integrity across systems related to operations, finance, and compliance.
  • Monitors and analyzes departmental budgets, funding sources, and financial performance.
  • Coordinates and ensures personnel actions comply with organizational policies and approval requirements.
  • Identifies and assesses trends, risks, and operational issues and proposes actionable solutions.
  • Prioritizes and adjusts work to meet leadership and departmental needs as demands evolve.
  • Operates and leads administrative support activities with a high level of autonomy and accountability.
  • Collaborates and influences leadership, cross-functional teams, external partners, and key stakeholders.
  • Designs, implements, and leads administrative and operational processes across the unit.
  • Leads and coordinates projects, events, and initiatives, ensuring alignment of resources and outcomes.
  • Owns and delivers reporting tied to operational, financial, and compliance outcomes.
  • Serves as a primary liaison with internal and external partners, addressing issues independently.
  • Trains, guides, and sets expectations for administrative staff and support workflows.
  • Performs and manages highly complex, variable, and multi-step assignments requiring advanced judgment.
  • Utilizes and optimizes advanced systems related to finance, HR, and operations.
  • Handles highly sensitive leadership, financial, and personnel information with a high level of discretion.
  • May complete unit/department specific duties as outlined in department documents.
REQUIRED QUALIFICATIONS
  • High school diploma or an equivalent combination of education and experience from which comparable knowledge, skills and abilities can be acquired.
  • Three (3) years of office-related experience.
PREFERRED QUALIFICATIONS
  • Additional license/certification requirements as determined by the hiring department.
