Position Summary
We are seeking an Administrative Support Manager to join our Firm. This position will be based in our New York office (hybrid).
This role will manage all aspects of the Administrative Support team including department administration, recruiting, staff oversight, training and employee development, performance management, and general process and departmental improvement.
Responsibilities
- Manage daily operations of the Administrative Support department, including projects, day‑to‑day tasks, and long‑range plans.
- Monitor time, attendance, overtime, expense reports, and absence requests to ensure accuracy and compliance with Firm policies.
- Coordinate daily workflow, oversee workloads, and monitor utilization.
- Handle staffing requests and assignments efficiently.
- Ensure timely and accurate responses to requests for departmental services.
- Provide coaching and guidance to business services professionals to implement continuous quality improvements and enhance departmental efficiency.
- Participate in recruitment, interviewing, and selection for Executive Assistants and Administrative Project Coordinators.
- Consult regularly with the department’s Assistant Director and other managers on team programs and initiatives, performance status, and departmental updates.
- Collaborate with peer managers in Administrative Support, Paralegal Services, and Operations Group Management to increase efficiency, strengthen employee knowledge, and maintain high‑level service to attorneys and clients.
- Partner with the Administrative Support management team to design, coordinate, and deliver training programs tailored to staff development needs.
- Maintain current knowledge of Firm policies, industry trends, and professional development opportunities for business services professionals.
- Engage in strategic long‑range planning, developing departmental goals and objectives.
- Recommend new or revised policies, procedures, and practices that promote efficiency, effectiveness, and excellent customer service.
- Utilize the Firm’s performance management process to communicate expectations, monitor performance, coach employees, and manage unsatisfactory performance.
- Oversee employee performance and provide guidance in problem resolution, including initiating disciplinary procedures in collaboration with Human Resources.
- Develop and communicate departmental guidelines and procedures, forecast financial and budget requirements, prepare related reports, and monitor the budget.
- Demonstrate effective interpersonal and written communication skills and manage Firm resources responsibly.
- Perform other related duties as assigned.
Qualifications
- Current knowledge of law firm administration and administrative support best practices, trends, and techniques.
- Proficiency with Firm computer software (Outlook, Word, Excel) and ability to learn new software and operating systems.
- Knowledge and implementation of the annual budget process.
- Demonstrated experience in leading and supervising others with effective coaching and problem‑solving techniques.
- Ability to organize, prioritize work, delegate effectively, and handle sensitive matters with confidentiality.
- Excellent analytical, troubleshooting, organizational, and planning skills.
- Ability to administer Firm policies and procedures and handle multiple projects and shifting priorities.
- Effective interpersonal and communication skills, both verbally and in writing.
- Attention to detail and discretion with sound judgment.
- Ability to work well in a demanding, fast‑paced environment, independently and within a team.
- Flexibility to adjust hours as needed to meet operating and business needs.
Education and Experience
- Bachelor’s degree required.
- Minimum of eight years of administrative management or related experience in a law firm or professional services environment, including four years of supervisory experience.
- Experience should demonstrate success in leading others, resolving conflicts, and developing effective work relationships with employees at all levels.

Salary
Base salary range: $155,000 – $175,000.
