Qualifications

  • Minimum of 5 years’ experience using the Defense Travel System (DTS) and applying DoW travel policies.
  • Minimum of 5 years’ experience with Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
  • Demonstrating excellent work ethic, strong attention to detail, and highly accurate in performing tasks independently with minimal oversight; strong customer service.
  • Associate degree in any administrative field; bachelor’s degree preferred.

  • Coordinate travel logistics using DTS and related systems (CFMS, SABRS, DAI, N-ERP).
  • Prepare weekly schedules for milestone iterations and post‑NLAP surveys.
  • Assist Government Program Manager and BI Analyst with registration and performance graphics.
  • Promote NLAP benefits and liaise with NSW commands to identify qualified panelists.

Description

Position Title: Administrative Support Assistant II

Location: Coronado, CA

Clearance required: SECRET

Responsibilities Include (but Are Not Limited To)
  • Perform a variety of administrative duties in support of all components to NLAP: human performance and physical assessment; psychological evaluation; writing assessments; peer and subordinate evaluations; and competency interview panels.
  • Communicate with NSW stakeholders (Officer Community Manager; NSW officer detailers; prospective panelists; and eligible officers) to develop the annual list of NSW personnel who will be required to complete NLAP for leadership milestone qualification. Submit annually prior to end of calendar year.
  • Prepare weekly schedules for all milestone iterations.
  • Assist the Government Program Manager and the Business Intelligence Analyst in the preparation of registration and performance graphics.
  • Actively promote the benefits of serving on NLAP panels and liaise with NSW commands to identify qualified panelists.
  • Notify candidates required to participate in NLAP and collect candidate data as required to complete pre-NLAP records.
  • Develop and distribute the NLAP Warning Orders prior to the start of each NLAP iteration and prepare post-NLAP panel and candidate feedback surveys. Send to registered participants 2 weeks before each NLAP.
  • Provide on-site presence throughout NLAP weeks for: logistics support; assessment evolutions; and candidate interviews.
  • Coordinate and advise NLAP panelists and participants on travel related to NLAP utilizing the Government Defense Travel System (DTS), executing routine travel coordination functions which include:
    • Act as the reviewer routing official and assist customers with travel-related questions, voucher or authorization processing.
    • Perform reconciliation of travel transactions in the prescribed feeder and official accounting systems (e.g. Command Financial Management System (CFMS), Standard Accounting, Budgeting and Reporting System (SABRS), Defense Agencies Initiative (DAI), and Navy Enterprise Resource Planning (N-ERP).
    • Maintain and update required documentation to support the Dormant Accounts Review-Quarterly (DAR-Q) and audit readiness.
    • Create, update, and distribute travel reports to include but not limited to an Unsubmitted Voucher Report & Statement of Understanding and Cardholder Training Report.
    • May be designated as a Non-DTS Entry Agent (NDEA) to assist with creation of travel documents. May also be appointed as an Alternate Agency Program Coordinator for the Government Travel Charge Card program with view only access to conduct thorough reviews of vouchers.
  • Act as the Moderator during panel milestone interviews if requested by the Government. The role of the Moderator is to ensure continuity among NLAP iterations by adhering to prepared scripts for all competency interviews, and readiness for milestone deliberations. The Moderator will enforce the rules of engagement specified for both panelists and participants. This role requires situational awareness, anticipation, discretion, and tact. The Moderator is not an assessor of milestone readiness.
Qualifications
  • Minimum of 5 years’ experience working with the Defense Travel System (DTS) and applying DoW travel processing/policies.
  • Minimum of 5 years’ experience working with Microsoft Office applications in a professional setting, to include Word, Outlook, Excel, and PowerPoint.
  • Demonstrating in at least two other professional settings an excellent work ethic, strong attention to detail, superior customer service skills, and highly accurate in performing all tasks independently with minimal oversight.
  • Possess an associate’s degree in any administrative field; bachelor’s degree preferred.
