Job description

The Iowa Department of Health and Human Services (HHS), Division of Public Health, Bureau of Iowa Office of the State Medical Examiner is seeking an Administrative Support Assistant 2 to join our team! for the Iowa Laboratory Facility 2250 S Ankeny Blvd Ankeny, IA 50021.

This position provides administrative support for office operations, serving as the first point of contact for the Iowa Office of the State Medical Examiner (IOSME) while also helping to maintain the department’s Case Management system

Duties include
  • Administers the entering of data, filing, and organizing of case files of a confidential, complex or otherwise sensitive nature.
  • Preparing final autopsy reports for distribution
  • Maintaining the tracking list of outstanding death certificates for IOSME pathologists.
  • Keeps controls of assignments, projects, reports and correspondence for the administrative staff of IOSME.
  • Prepares chart labels for assigned cases and performs quality assurance reviews on case entries within the case management system.
  • Communicates with county medical examiners to obtain required reports and ensures all collected documentation is accurately entered into the case management system.
  • Maintains calendars for the Chief Medical Examiner and Deputy State Medical Examiner.
  • Schedules appointments/conference and arranges for out-of-town travel
  • Processes employee travel claims for reimbursement.
  • This position provides administrative support for office operations by receiving and screening visitors, responding to routine inquiries, and directing telephone calls to appropriate staff.

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
  1. One year of full-time work experience in general office, clerical, data entry/processing, or related work.
  2. A total of one year of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 1.

Within a period of time after hire, as determined by the appointing authority, employees in this class may be required to type at least 40 WPM net as demonstrated by the completion of a typing examination.
