MISSION:
It is the mission of the South Carolina Department of Juvenile Justice (DJJ) to impact and transform young lives, strengthen families, and support safer communities through targeted prevention and rehabilitation.

JOB PURPOSE:

Under general supervision, performs a variety of confidential and complex secretarial/administrative duties. This position ensures that accurate information on the youth being detained and is obtained from the security staff in order to maintain the flow of youth through the Juvenile Justice system.

JOB RESPONSIBILITIES:

Ensures youth transfer sheets are completed with attached labeled envelopes, education transcript, medical examination, Form 5, court order, medical necessities and psychiatric information.

Obtains all necessary signatures for completion of the reports, copies the reports, and ensures copy to master file and one copy is packaged to submit to County for court.

E-mails reports to requesting counties.

Ensures accurate information on the youths being evaluated is obtained from the clinical staff and combined into one report for the courts.

Prepares documents by utilizing skills of word processing to include accuracy of the keyboard and proper formatting.

Combines report ensuring JJMS numbers are correct.

Maintains control for correspondence, reports, and documents through reminder system; maintains the filing system for permanent youth records psychological records and notes.

Creates and submits weekly case review report to administrative and clinical staff on a weekly basis.

Files transfer forms, other pertinent information on the youth to the master file.

Creates and distributes the weekly trip list to administrative, security, clinical and county office staff.

Reviews, submits and tracks Negative Behaviors Reports.

Tracks all facility incidents and submits to drive.

Cross-trains to complete intake duties when necessary.

Performs other related duties deemed by the Supervisor.

STATE MINIMUM REQUIREMENTS:

A high school diploma. Related clerical experience may be substituted for a high school diploma.

ADDITIONAL REQUIREMENTS:


Considerable knowledge of care/operation of various types of standard office machines.

Considerable knowledge of correct English usage/ spelling/ functions.

Extensive ability to exercise judgment/ discretion to execute complex written/ oral instructions.

Considerable skill in establishing/ maintaining complex filing systems.

Applicants must have the ability to type at a corrected rate of 35 wpm.

Must be able to sit for prolonged periods, communicate orally and in writing, navigate building, operate office equipment, bend, stoop, lift and reach, able to lift 5 lbs.

Must work in an environment with incarcerated youth.

This position performs job duties relating to the custody control transport or recapture of youth within the jurisdiction of the Department of Juvenile Justice, and the employee may have direct/indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.

PREFERRED AGENCY REQUIREMENTS:


A high school diploma and two years of clerical experience, one year of which must have been in the operation of computer equipment; or an associate degree in secretarial science or another related field.
