Responsibilities

  • Coordinate job postings, applicant communications, interview scheduling, and hiring documentation.
  • Support onboarding and orientation activities and maintain accurate, confidential HR files/records.
  • Assist with routine employee questions and help ensure required documentation is collected and organized.
  • Review time records for accuracy and completeness; assist with payroll data entry.

The Role

As the Administrative Services Specialist, you’ll play a vital role in supporting day‑to‑day operations across multiple business functions, including HR/Recruiting, Payroll, Office Administration, Safety & Compliance, and IT. You’ll help keep our people and processes running smoothly by coordinating recruiting and onboarding activities, supporting payroll accuracy and employee inquiries, and maintaining confidential HR records. You’ll also serve as the Office Manager, ensuring the office remains organized and efficient through oversight of supplies, mail, records, communication flow, and general administrative operations. This role further contributes to a safe and compliant workplace by supporting safety communication, training coordination, inspections, and documentation. Additionally, you’ll assist with routine IT‑related administrative needs such as equipment tracking, onboarding/offboarding logistics, and coordination with external IT vendors. To support strong team connection and hands‑on collaboration, this role is best suited for candidates living close to our Rincon, GA office.

What You’ll Do
  • Coordinate job postings, applicant communication, interview scheduling, and hiring documentation
  • Support onboarding and orientation activities and maintain accurate, confidential HR files/records
  • Assist with routine employee questions and help ensure required documentation is collected and organized
Payroll Support
  • Review time records for accuracy and completeness
  • Assist with payroll data entry, discrepancy follow-up, and employee payroll inquiries
  • Support payroll reporting, reconciliation, and record retention
Office Management
  • Oversee office supplies, mail, records, and general administrative workflows
  • Maintain an organized, efficient office environment in compliance with company policies and support scheduling, meeting prep, travel coordination, and fleet management (~3 vehicles)
  • Manage sensitive documents and ensure smooth communication flow across CPI’s offices
Safety & Compliance
  • Participate in safety committee activities and support safety initiatives and communication
  • Assist with training coordination, inspections, audits, and documentation
  • Help maintain compliance with company safety practices and applicable regulations (OSHA, etc.)
IT & Onboarding Coordination
  • Coordinate onboarding and offboarding logistics, including equipment requests and account setup
  • Track assigned equipment and support administrative technology needs
  • Serve as the company’s IT resource and handle all communications with external IT vendors
What You Bring
  • A minimum of a high school diploma or equivalent
  • 3+ years of experience in office administration, HR support, recruiting coordination, payroll support, or similar roles.
  • Ability to maintain accurate records and manage multiple tasks.
  • Proficiency with Microsoft Office and willingness to learn HRIS, ATS, payroll, and other systems.
  • General understanding of employment processes, payroll practices, and workplace safety procedures.
  • Physical Requirements: this position is primarily office-based and requires occasional movement throughout the facility, and the ability to operate standard office equipment and keyboards, lift up to 15lbs (as needed), and sit/stand for long periods, with reasonable accommodations if requested.
  • Preferred Qualifications:
  • Associate’s or bachelor’s degree in HR, Business Administration, Office Administration, Accounting, or related field.
  • 4+ years of experience across HR, payroll, recruiting, office management, safety, or employee administration.
  • Experience in manufacturing, industrial, field‑service environments, or similarly regulated work environments
  • Experience with HRIS, payroll systems, ATS platforms, or benefits administration.
  • HR or payroll‑related certifications (e.g., SHRM‑CP, PHR).
  • Because this position involves frequent onsite responsibilities, preference will be given to candidates who currently live near our Rincon office.
Other Requirements
