Job summary

Carnegie Mellon University in Pittsburgh seeks an experienced Administrative Assistant to support the S3D department's MSE and MPEAI programs. You will manage calendars, travel, expense reports, and course and event logistics in a busy academic setting.

The ideal candidate has 3–5 years of administrative experience, strong communication and organization skills, and familiarity with campus systems. This full‑time hourly role includes excellent benefits and a collaborative work environment.

Qualifications

  • High school diploma or GED required; Associate degree preferred.
  • 3-5 years of administrative support experience required.
  • Experience in higher education preferred.
  • Strong interpersonal, communication, organization, and planning skills required.

Responsibilities

  • Calendar management for faculty calendars and project timelines, coordinating meetings and resources (rooms, meals, Zoom).
  • Handle expense reimbursements, procure goods/services, and process payments and PCard verifications.
  • Provide course scheduling support, monitor waitlists, enter grades, and manage course materials in relevant systems.
  • Plan and coordinate events and conferences for on- and off-campus locations with travel, registration, and materials.
  • Provide general administrative support including travel arrangements, office space, supplies, and project coordination.
  • Support program-related meetings, recruitment/admissions data collection, and syllabus/transcripts coordination for MSE and MPEAI programs.
