ADMINISTRATIVE MANAGER, CAREER DEVELOPMENT, School of Medicine, Student Affairs

Join to apply for the ADMINISTRATIVE MANAGER, CAREER DEVELOPMENT, School of Medicine, Student Affairs role at Boston University.

This position serves as the primary contact for students, faculty, and staff regarding residency applications and related processes, supporting students from early medical school years through their residency matching process. The role involves managing timelines, requirements, policies, and materials to assist students in achieving their medical career goals.

Core Responsibilities
  1. Residency Applications & Timelines (35%)
  • Maintain up-to-date knowledge of policies and organizations involved in residency matching (NRMP, other portals).
  • Inform stakeholders of application requirements and timelines.
  • Communicate with students via email, meetings, and website updates.
  • Develop communication strategies and organize information for student meetings and orientations.
  • Track and report student application progress and Dean's office activities.
  • Administration of MSPE (30%)
    • Manage student and Dean assignments, including biosketch preparation.
    • Develop and finalize MSPE drafts, review, and upload into application systems.
    • Handle residency match data management and reporting.
  • Student Evaluations and Promotions Committee (20%)
    • Manage committee membership and coordinate meetings.
    • Draft student letters, record meeting minutes, and maintain student files.
    • Ensure compliance with school policies and manage related data.
  • Other Administrative Responsibilities (15%)
    • Oversee student document requests, including postgraduate documents and recommendation letters.
  • Support of Major Events and Daily Operations
    • Assist in planning and executing events like White Coat Ceremony, Match Day, and Graduation.
    • Contribute to daily office workflow, including answering phones, scheduling, and student inquiries.
    Required Skills and Qualifications
    • Bachelor's Degree with 3-5 years of related experience.
    • Administrative experience and proficiency in WordPress, Outlook, and Microsoft Office, especially Excel.
    • Strong organizational, multitasking, and event planning skills.
    • Excellent interpersonal and communication skills, professionalism, and ability to interact at all levels.
    • Interest in higher education and willingness to learn about medical education and related organizations.

    Work Schedule

    This is a Monday-Friday, 9 am-5 pm position, with occasional evenings and early mornings. It is an in-person role.
