Job summary

Eckerd College in St. Petersburg, FL seeks an Administrative Coordinator for Waterfront to support the Student Success team at our waterfront property along Boca Ciega Bay.

You will provide administrative support for Waterfront staff and manage office operations and payroll for Waterfront employees. The ideal candidate will be detail-oriented, proficient in Word, Excel, and Google Suite, with strong communication skills and discretion.

Responsibilities

  • Manage daily Waterfront office operations and meeting room scheduling.

  • Train and supervise office student employees (approx. 6 per year).
  • Oversee student payroll for Waterfront staff (approx. 60 per year).
  • Handle accounts payable, deposits, and purchasing card coding.

Job description

Eckerd College is currently seeking candidates for the position of Administrative Coordinator for Waterfront to join our Student Success team at our waterfront property along the Boca Ciega Bay in St. Petersburg, Florida, in our relationship-focused community. As the Administrative Coordinator, you will provide administrative support for all Waterfront staff members and special project support for the Waterfront Director, manage the Waterfront office and administer systems related to business office operations and payroll.

We are seeking a detail-oriented and reliable individual with proficiency in Microsoft Word, Excel, and Google Suite, as well as a solid understanding of basic bookkeeping principles. The ideal candidate will possess strong verbal and written communication skills and be comfortable using a variety of office equipment, including printers, scanners, computers, and telephones. This role requires the ability to work effectively with our unique community of faculty, staff, students, and members of the public. A high level of accuracy, attention to detail, and the ability to maintain confidentiality are essential to success in this position.

Key Responsibilities
  • Manage daily operations of the Waterfront office and meeting rooms, including completion of daily tasks, room scheduling and receptionist duties.

  • Maintain systems and equipment needed for office functions including office supplies purchases, equipment service requests, inventory updates and general tracking systems.

  • Train and supervise office student employees (average of 6 per year) ensuring 7-day coverage of the office area.

  • Manage student employment hiring and payroll process for all Waterfront employees (average of 60 per year).

  • Manage systems/processes related to business office operations including accounts payable, deposits, account reconciliations and purchasing card coding and statement reconciliation.

  • Manage administrative processes for academic year watersports instructional classes and summer watersports camp, including communication with students and parents and maintenance of the online registration program.

  • Assist with creation and maintenance of social media accounts and communications with the Eckerd community and general public.

  • Provide staff and general Waterfront support through completion of projects and maintenance of systems.

  • Assist with management of fundraising events through donation acquisition, registration management, promotion, and execution.

  • Assist Waterfront Director with special projects related to fundraising, alumni relations, and promotion.

Qualifications
  • High School diploma or equivalent; two (2) or more years of relevant experience in an office support role.
