The Steel Segment Administrator is a vital contributor to the success of the Steel Segment, providing essential administrative and communication support across all business units. This role supports the Segment Director and Account Managers by managing RFQs, purchase orders, sales opportunities, and internal communications.

The Steel Segment Administrator is a vital contributor to the success of the Steel Segment, providing essential administrative and communication support across all business units. This role supports the Segment Director and Account Managers by managing RFQs, purchase orders, sales opportunities, and internal communications.

The Administrator plays a central role in ensuring smooth cross-departmental coordination, timely customer deliverables, and accurate tracking of key business activities. Success in this position is defined by the ability to keep systems and records current, support critical deadlines, and keep the team informed and aligned.

This is a remote position and candidates may reside anywhere within the Eastern or Central time zones

Requirements

Administrative & Segment Support

  • Provide direct administrative support to the Segment Director and Account Managers.
  • Maintain organized records, logs, and shared files.
  • Prepare meeting agendas, distribute notes, and track action items.

RFQ & PO Management

  • Monitor, log, and track all RFQs and purchase orders.
  • Coordinate with Estimating and Purchasing teams for timely submissions and order processing.
  • Maintain real-time RFQ/PO dashboards in the CRM system.

Sales Opportunity & Pipeline Support

  • Track active and pending opportunities across the segment.
  • Update CRM with documents, communication logs, and progress notes.
  • Support Account Managers in bid preparation and internal review processes.

Cross-Functional Communication

  • Act as liaison between the steel segment and other business units.
  • Confirm timelines, delivery dates, and resource needs.
  • Proactively escalate potential risks or delays to leadership.

Customer Deliverable Tracking

  • Track physical and service deliverables to ensure alignment with customer expectations.
  • Coordinate with internal teams to confirm deliveries and communicate status updates.

Reporting & Metrics

  • Compile and distribute weekly/monthly reports on RFQs, POs, pipeline status, on-time delivery, and issue tracking.

Process Optimization

  • Identify workflow inefficiencies and recommend improvements.
  • Lead initiatives to automate and streamline processes and documentation.

Qualifications

Education

  • High school diploma or GED required.
  • Trade school, military training, or crane service training preferred.

Experience & Skills

  • Minimum 2 years in an administrative support role or equivalent military experience.
  • Strong computer literacy; proficiency in Microsoft Office required.
  • Experience with CRM systems and report generation is a plus.
  • Excellent verbal and written communication skills.
  • Bilingual (English/Spanish) preferred.
  • Strong analytical and organizational skills.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Valid driver's license in good standing.
  • Must pass background check, physical, drug screening, and E-Verify.
