Essential Duties
- Maintain and update employee documentation in compliance with company policies, union regulations, and legal requirements.
- Support overall division documentation clean up and organization, including updating spreadsheets, files, etc.
- Coordinate employee travel and lodging as requested by Division Manager and other Pipe Services leadership.
- Work with Division Manager and HR Team to ensure proper onboarding procedures are followed.
- Support and may lead New Hire Orientation for all Pipe Services employees, ensuring compliance with company safety policies, union regulations, and legal requirements.
- Responsible for scheduling Pipe Services background, drug and other pre-employment screenings, as required.
- Support coordination with DMA Mechanic, Director of Safety + Operations, and other Pipe Services leadership if/when company vehicles require maintenance or need immediate attention.
- Become familiar with division practices and field crew procedures and can field on‑site questions or work, as needed.
- Assist Division and Project Managers with administrative tasks, as requested.
- Coordinate with Recruitment/HR Team to oversee Summer Internship programming and scheduling within Pipe Services.
- Monitor new technology, evaluate, and recommend purchases of new equipment, software, and supplies.
- Support general Administration of DMA, serving as back‑up for Professional Services Administrative Coordinator, as needed.
- Support general office safety through access to security cameras and ability to operate entrances. (Including, but not limited to answering phones, mailing, packages, coordinating lunch & learns, etc.)
- Handle initial reporting of incidents and leave requests, ensuring that all relevant information is provided and communication to the Director of HR.
- May work with other administrative staff and HR team to coordinate and plan office events, outings and other morale‑boosting opportunities at DMA, this includes annual outings and celebrations.
- Ensure proper employee record is kept on file and up to date on UKG or company HRIS. This includes DOT logs, CDL Licenses, First Aid + CPR certifications, etc.
- May participate in regularly scheduled Pipe Services meetings including, but not limited to Fleet Management, Monday All‑Team, Safety, etc.
- Follow and abide by the DMA employee and safety manuals.
- Other duties as assigned.
