Role Overview and Responsibilities
The Department Administrator is responsible for providing administrative support to the quoting and business developments teams. The individual will be managing incoming quote requests, quote delivery and approval, contract review, departmental reporting, and quote coversheets and approvals. Additional responsibilities include but are not limited to validating pricing integrity, managing quote acknowledgment dates, and new customer correspondence.
Key Responsibilities
- Serve as the point of contact for quoting department to both internal and external stakeholders.
- Monitor incoming quote request inbox for new quotes and initiate quoting process.
- Ensure completeness of quote requests and documentation packages provided by customers and internal stakeholders.
- Provide feedback on required information/files from the customer so that quote team can prepare an accurate quote.
- Enter new quote requests into Salesforce or similar system for management during quoting process.
- Acknowledge quote delivery dates to business development and program management teams.
- Set up costing sheets and quote cover sheets for delivery to customer.
- Manage internal approvals and sign‑offs based on value of opportunity.
- Regularly report on quotes and initial product runs based on prescribed set of reporting and status tools.
- Support the Business‑Win process by attending bid reviews and approval meetings.
- Ensure all stated assumptions and exceptions are included on coversheets prior to delivery to customers.
- Perform general administrative duties (filing requests and approvals) to comply with regulatory requirements.
- Properly handle export‑controlled design documentation throughout quoting process per TT quality management system procedures.

Qualifications, Skills and Attributes
Knowledge, Skills and Abilities:
- Education/Experience/Credentials: High school diploma with 2+ years of administrative or similar experience.
- Language Ability: Excellent written and verbal communication skills. Ability to read and analyze periodicals, business reports, correspondence, and procedure manuals. Ability to write clear and professional reports, business correspondence, and procedural documentation. Ability to effectively present information and respond to questions from managers, customers, team members, and the public. The individual must demonstrate strong grammar, editing, and proofreading skills.
- Reasoning Ability: Ability to solve practical problems and work effectively with a variety of concrete variables in situations where limited standardization exists. Ability to interpret instructions presented in written, oral, diagram, or schedule form. Must consistently maintain a professional and positive image in all situations while exercising sound judgment.
- Computer Skills: Proficiency in standard office software, including word processing, spreadsheets, databases, slide‑presentation tools, internet browsers, email platforms, and business‑systems software. Microsoft Excel proficiency preferred.

Location
100% onsite in Greater Cleveland (Perry), Ohio.
