Our small non‑medical home care office seeks to add a positive, energetic team member to support our office administration. We are a small team, but we work hard, and offer competitive pay, flexible schedules, work from home one day per week, 401(K) matching, and more. The Administrative Coordinator / Caregiver’s primary responsibility is to coordinate Caregivers onto established cases, handle scheduling needs, and contribute to hiring and orienting new Caregivers.

Essential Duties and Responsibilities
  • Answer and direct calls, office visits, and emails.
  • Fill cases with existing, qualified Caregivers by using empathy, data, and factors of compatibility to make the best possible long‑term placement of Griswold Caregivers.
  • Place caregivers as needed for fill‑ins and other needs, making sure all shifts are filled appropriately without mistakes.
  • Ensure caregivers and clients know the schedule, caregivers assigned, any changes to schedules or care plans, and follow through and support any communication with clients and caregivers.
  • Contact caregivers by phone or email, at least monthly.
  • Work closely with other staff members to create a complete, successful, satisfying, and on‑going life cycle of exceptional services to our clients and Caregivers.
  • Manage phone screening and schedule in‑person interviewing of new caregiver candidates.
  • Check references and conduct background checks for prospective Caregivers.
  • Manage, track, and collect certifications, licenses, and online training of employees.
  • Know and act in accordance with the applicable state laws governing the type of care that a Caregiver can lawfully provide based on the Caregiver’s licensure or certification.
  • Utilize Outlook for email and calendar appointment/event scheduling.
  • Utilize WellSky Scheduling, Analytics and Reporting for complete and accurate care coordination, Caregiver scheduling, analyze trends, data reporting, notes, and follow‑up.
  • Collaborate and communicate staffing needs with other staff members.
  • Work to ensure 100% of shifts are filled.
  • Maintain non‑billable overtime at or below the established weekly benchmark for the office as set by the Director.
  • Manage weekend and after‑hour calls ("on‑call") at least once per month (as a full‑time salaried employee).
  • Participate in the development and execution of special projects relating to operations.
  • Assist with business development efforts, including taking calls, researching, setting appointments, and other tasks related to onboarding clients and following up with referral sources.
  • Ensure proper service is delivered to all prospects, including taking initial prospect calls, scheduling initial home assessments, answering questions, and following up with leads.
  • Must be able to see and interpret information within our systems (like WellSky, FranConnect, or Email) and be able to exchange information accurately and quickly with others, as well as record information in these same systems.
  • If the candidate has a Certified Nursing Assistant license, be willing to fill in for last‑minute or emergency shifts.
Educational Background / Knowledge / Prior Experience
  • Certified Nursing Assistant (CNA) license strongly preferred.
  • Caregiving background, experience working with older adults.
  • Human services background or strong desire to help others.
  • BA/BS related field is a plus.
Necessary Attributes and Qualifications
  • Organized and detail‑oriented with strong verbal and written skills.
  • Proficient in Microsoft Office and computers.
  • Comfortable with phone and email communication.
  • High emotional intelligence, empathy, and dedication to our company's purpose.

  • Must handle on‑call duties on a rotating basis as needed.
  • Reliable transportation, valid driver’s license, and car insurance required.

Work is in‑office at our Kensington office at least 4 days per week. Schedule is flexible (typically 8 hours daily, Monday through Friday). Part‑time candidates who wish to build to full‑time are welcome. Salary is negotiable.
