Job summary

Saint Michael's College seeks a highly organized professional to support the Athletics Department's day-to-day operations, coordinating team travel, housing, events, and programs to ensure a first-class experience for student-athletes and coaches.

The role includes budget tracking, financial reconciliation, and administrative processes that support operational excellence. It also involves maintaining athletic databases and collaborating with campus partners to strengthen College-wide connections.

Qualifications

  • Associate’s degree required.
  • Strong knowledge of Microsoft Office products.
  • Previous office management experience helpful.

Responsibilities

  • Completes and processes all department purchase requisitions, requests for payment, cash advances and account deposits.
  • Processes requests for payment.
  • Works with Athletic Director to plan intercollegiate contests and coordinate meals/departure times.
  • Serves as department liaison to campus dining and orders all food/meal requests.
  • Acts as a member of the Block M Dinner Committee and assists in organizing the event.
  • Serves as liaison with other campus offices/committees.
  • Processes game contracts for all contests.
  • Annually coordinates the fall pre-season notification and housing needs with Residential Life.
  • Records departmental meeting minutes and distributes to department members.
  • Orders office supplies and provides telephone and reception.

Job description

Saint Michael’s College is seeking a highly organized and detail-oriented professional to support the day-to-day operations of our Athletics Department. In this role, you will coordinate team travel, hotel accommodations, athletic events, and special programs while helping ensure a first-class experience for our student-athletes and coaches. The successful candidate will assist with budget tracking, financial reconciliation, and administrative processes that support the department’s operational excellence. You will also manage athletic databases, maintain accurate student-athlete and team records, and collaborate with campus partners to strengthen connections across the College community. Responsibilities include, but are not limited to:

  • Completes and processes all department purchase requisitions, requests for payment, cash advances and account deposits

  • Works with Athletic Director to prepare and plan for all intercollegiate athletic contests, soliciting input from coaches regarding meals and departure times

  • Serves as the department liaison to campus dining service and orders all food/meal requests for intercollegiate teams

  • Acts as a member of the Block M Dinner Committee and assists in the organization of the event

  • Serves as a liaison for the Athletics Department with other campus offices/committees

  • Process game contracts for all contests

  • Annually coordinates the fall pre-season notification and communicates with residential life regarding housing needs

Qualifications:

  • Associate’s degree

  • Previous office management experience helpful

  • Reads and interprets documents such as operating instructions, procedure manuals, and college policies to guide own behavior. May need to spend substantial time on the telephone or in meetings to gather necessary information and plan projects. May need to respond to questions and solve problems for people using communications skills. Has the demonstrated ability to prepare or revise written reports or other documents.

  • Strong knowledge of Microsoft Office products
