Join MoFo as an ADMINISTRATIVE COORDINATOR on our Office Administration team!
This role is based in our San Francisco office.
ABOUT THE ROLE
- Provide administrative support to the Director of Administration and related Department Managers, including Administrative Manager, Secretarial Services, Conference Center Manager, Purchasing and Catering Manager, Facilities Manager, and Office Operations and Safety Manager.
- Handle calendar management in Outlook, schedule meetings, facilitate scheduling for others, and ensure the Director of Administration’s calendar is up to date.
- Draft and update office communications, including holiday coverage emails, weekly messages, firm announcements, etc.
- Arrange various events and meetings, draft invitations, coordinate with IT, Catering, and Conference Center Services, and collaborate with Marketing and Travel & Events as needed.
- Support Partner and Manager meetings by scheduling, sending invitations, soliciting agenda items, taking minutes, and booking conference rooms or Zoom/Teams meetings.
- Manage administrative tasks related to the arrival and departure of Attorneys and Staff, including drafting messages, updating records, scheduling onboarding and departure meetings, and preparing related documents.
- Utilize Excel to manage and maintain various documents for informational and tracking purposes.
- Coordinate office services and wellness programs such as annual flu shots, sports ticket charts, and other services throughout the year.
- Manage the service recognition program, including the annual luncheon, staff anniversaries, and related activities.
- Provide backup support for Reception, including overtime support as needed.
- Process all invoices and expense reimbursements via ChromeRiver.
- Update and maintain information on the office intranet page.
ABOUT YOU
- Three or more years of related experience in a law firm or professional services firm.
- Proficiency with Word, Excel, PowerPoint, and Outlook; ability to learn new software quickly.
- Associate's degree required; Bachelor's degree preferred.
- Excellent communication skills, with the ability to interact credibly and diplomatically at all organizational levels and build effective relationships.
- Strong sense of accountability, ownership of projects, proactive issue resolution.
- Ability to manage multiple requests, prioritize, and meet deadlines.
- Ability to independently handle assignments from start to finish with minimal supervision.
- Maintain professionalism under pressure and confidentiality of sensitive information.
- High attention to detail, organization, proofreading, and follow-through skills.
- Exceptional client service ethic and a track record of delivering excellent internal and external service.
- Proactive, solution-oriented, team-player attitude, with a focus on delivering client satisfaction.
- Dependable, motivated, quick to respond to requests.
- Ability to collaborate effectively with diverse individuals at all levels.

Salary ranges are provided where required by law; additional compensation may include bonuses, overtime, benefits, retirement contributions, holidays, and PTO. The salary range for San Francisco is $62k to $92k.
