Job summary

Verdantas LLC is seeking a Full-time Administrative Coordinator for the San Diego Office(s). The role focuses on supporting teams, coordinating activities, and creating a positive experience for internal and external stakeholders. The candidate helps ensure efficient operations across growing San Diego offices.

You will work as a trusted partner to staff, managing daily tasks, onboarding support, and event coordination while delivering excellent customer service to clients and vendors.

Qualifications

  • High school diploma or equivalent; business/administrative training is a plus.
  • 1+ year of administrative, office support, customer service, project coordination, or data-management experience.
  • Strong proficiency with Microsoft Office and ability to learn internal systems.

Responsibilities

  • Oversee daily office operations, including supplies, correspondence, and workspace.
  • Serve as primary contact for internal/external communications (phone, email, visitors).
  • Maintain a well-organized, fully supplied office environment and manage fleet/logistics.
  • Coordinate resources (team, equipment, materials) and format deliverables for projects.
  • Organize documents, contracts, and project files.

The successful candidate will be a trusted partner to our staff and help ensure the efficient operation of our growing San Diego offices.

What You'll Do:
  • Oversee daily office operations, including maintaining supplies, managing correspondence, and ensuring a clean and organized workspace
  • Serve as the primary point of contact for internal and external communications, including phone calls, emails, and visitor interactions
  • Ensure efficient day-to-day operations, maintaining a well-organized and fully supplied office environment
  • Manage fleet maintenance and logistics effectively
  • Assist in coordinating resources (team members, equipment, materials) and formatting deliverables for projects
  • Organize important documents, contracts, and project files
  • Assist supervisors and Department leader in the onboarding process for new hires, including coordinating gifts, orientation lunch, workspace setup, introduction to office layout and colleagues, and a welcome announcement
  • Manage the process of sending and receiving certified mail for important project-related documents.
  • Track and document certified mail receipts for record-keeping purposes
  • Prepare and edit documents, reports, and presentations
  • Maintain accurate records and filing systems
  • Assist with planning and execution of company events, meetings, and projects
  • Deliver excellent customer service to clients, vendors, and employees, resolving inquiries promptly
What You'll Bring:
  • High school diploma or equivalent required; additional business, administrative, or project coordination training is a plus
  • One or more years of relevant administrative, office support, customer service, project coordination, or data-management experience
  • Strong proficiency with Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint; ability to quickly learn tools such as Vision/Vantagepoint and other internal systems
  • Excellent attention to detail, with the ability to maintain accurate records, track follow-ups, and ensure data quality
  • Strong written and verbal communication skills with the ability to interact professionally with colleagues, leaders, clients, vendors, and external partners
  • Strong organizational and time-management skills, including the ability to manage multiple priorities, meet deadlines, and maintain a high level of follow-through
  • A collaborative, proactive, and customer-service-focused approach with a commitment to supporting team success
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times

Salary Range: $26.00 - $30.00
