Job summary

Solugenix is assisting a client in their search for an Administrative Coordinator on a 6-month contract based out of Los Angeles, CA (Onsite).

You will partner with senior leaders, investment professionals, university candidates, and new associates to coordinate early career recruiting, onboarding, and investor development programs, while providing operational and administrative support.

Qualifications

  • Excellent written, verbal, and interpersonal communication skills, with the ability to build productive relationships across a broad range of stakeholders, from early-career associates to senior leaders and investment professionals.

Responsibilities

  • Coordinate CAP, centergroup, Capital Core, and Investor Development programs, recruiting activities, meetings, and events from planning through execution and follow-up.
  • Coordinate major programs and events, including Summer MBA Associate Orientation, CAP Associate Orientation, New Investor Orientation, training sessions, participant communications, and feedback surveys.
  • Ensure communications, logistics, materials, and follow-up are accurate, timely, and aligned with key stakeholders.
  • Support CAP undergraduate recruiting through candidate communications, interview coordination, recruiting events, presentation preparation, and follow-up.
  • Create clear, visually effective PowerPoint presentations, Word documents, CAP branding materials, recruiting presentations, and other program materials.
  • Provide support for the Director of Investor Development and Early Career (CAP), including proactive calendar management, global travel arrangements, expense reporting, and operational support.
  • Gather, organize, and present information using tables, charts, and other communication materials.
  • Use approved AI and technology tools to draft and refine communications, synthesize notes and feedback, develop presentations, create summaries, and improve recurring workflows.
  • Review AI-generated work for accuracy, completeness, tone, confidentiality, and appropriateness before use.

Job description

Solugenix is assisting a client, a prestigious and large investment management company, in their search for an Administrative Coordinator. This is a 6-month contract opportunity based out of Los Angeles, CA (Onsite).

As an Administrative Coordinator, you'll play a central role in delivering client's early career recruiting, onboarding, and investor development programs. You'll partner with senior leaders, investment professionals, university candidates, and new associates to coordinate high-impact experiences while providing operational and administrative support that keeps the team running effectively. No two days will be the same. This role offers broad exposure to investor and early-career program management, communications, recruiting, and AI-enabled process improvement in a collaborative, fast-paced environment.

Qualifications:
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities, deadlines, projects, and stakeholders simultaneously.
  • Demonstrated initiative, ownership, and accountability, with the ability to work independently and appropriately seek guidance when needed.

  • Energized by engagement with university students and early-career talent – able to relate and quickly build trust-based relationships with CAP candidates and associates.
  • Creativity and enthusiasm for developing campus recruiting materials that resonate with each new generation of students.
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint and the ability to create polished presentations and professional communications.
  • Experience leveraging AI and other technology tools to improve productivity, workflow efficiency, and content development.
  • Commitment to collaboration, continuous improvement, and maintaining a strong in-office presence to foster partnership, responsiveness, and relationship building.
  • Experience in administrative support, project coordination, event planning, recruiting, operations, or a related field is helpful but not required.
Responsibilities:
Program, Project, and Event Coordination
  • Coordinate CAP, centergroup, Capital Core, and Investor Development programs, recruiting activities, meetings, and events from planning through execution and follow-up.
  • Coordinate major programs and events, including Summer MBA Associate Orientation, CAP Associate Orientation, New Investor Orientation, training sessions, participant communications, and feedback surveys.
  • Ensure communications, logistics, materials, and follow-up are accurate, timely, and aligned with key stakeholders.
CAP Recruiting, Candidate, and Stakeholder Support
  • Support CAP undergraduate recruiting through candidate communications, interview coordination, recruiting events, presentation preparation, and follow-up.
  • Help deliver a positive candidate experience for candidates, summer associates, associates, and other program participants.
Communications, Materials, and Creative Support
  • Develop and refine recruiting and investor development program communications including feedback surveys and event materials.
  • Create clear, visually effective PowerPoint presentations, Word documents, CAP branding materials, recruiting presentations, and other program materials.
Director and Team Administrative Support
  • Provide support for the Director of Investor Development and Early Career (CAP), including proactive calendar management, global travel arrangements, expense reporting, and operational support.
  • Coordinate meeting logistics and in-office support. Serve as point of contact for internal and external inquiries, resolving routine matters independently and escalating as appropriate.
  • Maintain organized files, shared materials, records, databases, and operating processes, including confidential information.
Reporting, Process Improvement, and Technology
  • Gather, organize, and present information using tables, charts, and other communication materials.
  • Use approved AI and technology tools to draft and refine communications, synthesize notes and feedback, develop presentations, create summaries, and improve recurring workflows.
  • Review AI-generated work for accuracy, completeness, tone, confidentiality, and appropriateness before use.
Pay Range for CA, CO, IL, NJ, NY, WA, and DC: $33.91/hour to $33.91/hour. Starting rate of pay offered may vary depending on factors including but not limited to, position offered, location, education, training, and/or experience.
