Job summary

A well-established hospital in downtown Los Angeles is seeking a Facilities Operations Supervisor to oversee various operational and administrative duties related to facilities management. The role includes managing vendors, ensuring regulatory compliance, and performing purchasing tasks through the Lawson ERP system. Candidates should have at least two years of relevant experience, possess strong administrative skills, and ideally hold an AA degree.

Job description

Responsibilities

The incumbent has supervisory responsibility for preventative maintenance work order scheduling and distribution. They are also responsible for vendor management, project management of non-OSHPD related projects, supervision of contractors, implementation of regulatory compliance policies, and tracking and communicating project progress and budget milestones. Additionally, they oversee Plant Operations inventory, cost reporting, material ordering, and perform purchasing and administrative duties in the Lawson ERP system. Duties include:

  • Performing FM Operations purchasing and requisitions in Lawson ERP
  • Managing contracting duties to ensure vendors and contractors comply with CommonSpirit's contract terms
  • Handling incoming service calls and entering work orders in Facility One CMMS
  • Managing project duties such as contractor/vendor site visits, tracking, and communicating milestones
  • Conducting QA reviews of water safety plan implementation, temperature and humidity monitoring for compliance, and asset tagging in CMMS
  • Recording meeting minutes for EOC, shop meetings, or educational sessions, and answering service calls for FM Operations
  • Monitoring utility services and reporting on energy savings initiatives
  • Administering department weekly schedules derived from leadership and preparing printable work schedules for staff
  • Providing administrative support for regulatory agencies like CMS, CDPH, and CHIQ
Qualifications
  • At least 2 years of experience in administrative and operational duties in facilities management or construction, or equivalent education and experience
  • Mechanical aptitude and familiarity with small hand tools
  • Strong understanding of PC and computer systems
  • Excellent administrative skills
  • Strong customer relation skills
  • An AA degree is preferred; experience may substitute for formal education
