  • Provide administrative support to physicians, managers, and department leadership.
  • Manage calendars, schedule meetings, and coordinate conference rooms and travel arrangements.
  • Prepare reports, spreadsheets, presentations, and other business documents.
  • Answer phones, respond to emails, greet visitors, and direct inquiries appropriately.
  • Maintain department files, databases, and office records.
  • Monitor office supplies and equipment, place orders, and resolve billing or supply issues.
  • Process and track administrative forms and paperwork.
  • Coordinate department meetings, conferences, and special events.
  • Assist with special projects and process improvements.
  • Help train and support other administrative staff as needed.

Position Summary

The Administrative Associate III provides administrative and operational support to a department or business unit. This role manages calendars, schedules meetings, prepares reports and correspondence, maintains departmental records, and helps keep day-to-day office operations running smoothly. The position requires strong organization, attention to detail, and the ability to prioritize multiple tasks while supporting physicians, leaders, and staff.

Minimum Qualifications

Education:

  • High School Diploma or GED required.

Experience:

  • At least 1 year of related administrative experience required.
  • Previous healthcare or hospital administrative experience is preferred.
  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational, communication, and customer service skills.
  • Ability to multitask, prioritize work independently, and maintain confidentiality in a fast-paced environment.
Schedule
  • Full-time, Monday-Friday (day shift). hybrid after 90 day training period

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors.
