ADMINISTRATIVE ASSOCIATE II

Position Summary: The Administrative Associate II is the departmental administrative lead and plays a pivotal role in providing essential support to the Department Head, faculty, and staff of the Department of Insurance, Legal Studies, and Real Estate. This role serves as a primary point of contact for the department and manages faculty functions and schedules, including recruitment, orientation, contracts, merit review, promotion and tenure processes, and financial matters.

Minimum Qualifications
  • High school diploma or equivalent and 2 years of related experience.

  • Relevant experience in higher education administration.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and key UGA systems.
  • Strong interpersonal, written, and verbal communication skills.
  • Excellent organization, attention to detail, and problem‑solving ability.
  • Ability to prioritize multiple tasks, manage time effectively, and work independently.
  • Professional demeanor and discretion in handling sensitive and confidential information.
  • Physical capacity to lift up to 20 pounds and perform office tasks.
Duties and Responsibilities

Comprehensive Administrative & Faculty Support

  • Front Desk & Communications Management:
    • Serve as main point of contact via phone, email, and in‑person visits.
    • Respond to inquiries from faculty, students, staff, and the public.
    • Manage departmental listservs.
  • Faculty & Academic Program Support:
    • Provide general administrative support to the Department Head and faculty.
    • Assist with advertising faculty positions, onboarding, scheduling, and room reservations.
    • Coordinate resume collection and mailing processes.
    • Support exam processing and faculty promotions and tenure dossiers.
  • Office Operations & Resource Management:
    • Manage office workflow, files, and databases.
    • Hire, train, and oversee student office workers.
    • Order and maintain office supplies and equipment inventory.
    • Organize destruction of old exams and class materials.
  • Onboarding & Guest Support:
    • Assist faculty with visitor arrangements and coordination.
    • Support new faculty and PhD students with onboarding.
    • Assist in engagement efforts with prospective students and recruiters.
  • Event Planning & Logistics:
    • Assist with planning and execution of departmental events and meetings.
    • Support faculty retreats and specialized events.
  • Financial Support:
    • Process financial transactions, purchases, payments, and receipts.
    • Prepare travel authorizations, expense statements, and reimbursement requests.Manage electronic purchase orders and budgets.
Physical Demands

Working in a normal office environment; requires ability to lift up to 20 pounds.
