Job Title: Administrative Assistant, Transportation

Pay Program: Support Staff, Non-Exempt

Pay Range: Range 12 ($23.54 - $26.17)

Work Year: Year-Round

Reports to: Transportation Coordinator

Summary

Operating under the direction of the Transportation Coordinator, this position provides front-line customer service, family support, and operational coordination to ensure the safe and efficient delivery of student transportation services. This role serves as the first point of contact for staff, families, contractors, and community partners while managing data, compliance reporting, and certification processes. The position requires strong organizational skills, attention to detail, and professionalism in handling sensitive information.

Job Responsibility Description

Front Office Operations and Customer Service

  • Serve as the primary point of contact for the Transportation Department front office.
  • Manage daily workflow, including mail, scheduling, and department messaging.
  • Triage and respond to inquiries, requests, and emergent issues; route and relay information to appropriate staff.

Family and Student Transportation Support

  • Assist parents and guardians with transportation services and mileage reimbursement processes.
  • Determine student eligibility for transportation reimbursements, including McKinney-Vento qualifications.
  • Track and maintain data such as transportation schedules, student attendance, and mileage reimbursements using district systems.

Vendor and Driver Certification Support

  • Serve as the first point of contact for vendor and contractor partners, including Student Transportation of America (STA), Millennium Services, Avila Care, and Mesa County/DHS.
  • Address daily operational issues such as bus or equipment problems, billing questions, crisis/security notifications, and driver or student concerns.
  • Coordinate the District's Small Vehicle Certification process, including training for new drivers and annual mass testing for current drivers.
  • Maintain and update the driver database with qualifications, test results, contact information, and reporting requirements.

Reporting and Financial Support

  • Provide data and reporting information in collaboration with Coordinator and Finance Department Staff
  • Request and compile reports from STA and other partners to complete the CDE 40 Report and meet compliance requirements.
  • Assist with purchase and supply orders as needed.

Other Duties

  • Additional tasks, duties, and responsibilities may be assigned as needed/requested.

Education and Experience

Acceptable demonstration of acceptable education and/or experience will be at the sole discretion of the District.

  • High school diploma or equivalent required.
  • Two years' experience in an office management or an administrative assistant position required.
  • Prior school district experience preferred.

Licenses, Registrations or Certifications

  • Criminal background check required for hire

  • Well-developed knowledge base of transportation and other operational services
  • Exceptional customer service, collaborative decision-making and interpersonal relationship building skills
  • Well-developed basic math, bookkeeping, and statistics background
  • Strong ability to use de-escalation techniques and to defuse occasional stressful situations
  • Well-developed writing, organizational, scheduling, report writing and record keeping skills
  • Ability to work independently as needed with minimal direction and/or supervision
  • Ability to manage multiple priorities and frequent interruptions in a timely manner
  • Operating knowledge of and experience with personal computers and peripherals
  • Operating knowledge of and experience with software programs for presentations, word processing, spreadsheets, Smartsheet, and online computing platforms including G+ Suite and Office 365 integrated educational packages.
  • Operating knowledge of typical office equipment, such as copier, scanner, fax machine, etc.,
  • Operating knowledge of scheduling, work order, and vendor tracking systems within 20 days of hire.
