Job summary

Northrop Grumman Space Systems Engineering in McLean, VA seeks an Administrative Assistant to the VP of Engineering. You will manage complex calendars, arrange domestic and international travel, prepare executive communications, and coordinate leadership events with discretion and professionalism.

The role requires a self-motivated professional, strong MS Office skills, and the ability to handle confidential information in a fast-paced environment on-site daily.

Qualifications

  • High School diploma or equivalent and 8 years related experience or education.
  • Experience organizing/maintaining/deconflicting schedules, meetings, and travel.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel).
  • United States Citizenship and ability to obtain a U.S. government Top-Secret clearance.
  • Experience supporting C-suite or VP-level leaders is a plus.

Responsibilities

  • Manage complex calendars, including scheduling meetings and preparing materials.
  • Coordinate domestic and international travel arrangements and changes as needed.
  • Plan and support leadership meetings, town halls, and events with agenda and logistics.
  • Prepare, edit, and format executive documents with high accuracy and professionalism.
  • Screen and route emails and calls; respond on behalf of the executive when appropriate.
  • Track action items, deadlines, and deliverables for the executive and team.
  • Process and reconcile expense reports and purchasing requests.
  • Maintain organized files (electronic and paper) for compliance and quick retrieval.
  • Handle sensitive information with the highest level of integrity; on-site daily support.
  • Collaborate with executive assistants to support Space Systems sector goals.

Northrop Grumman Space Systems Engineering is seeking an Administrative Assistant to our Vice President of Engineering to join our team. The position will be based in McLean, VA at our Colshire office location.

The position requires a self-motivated professional who will provide high-level administrative and operational support to the Space Systems Sector VP of Engineering and the broader leadership team. This role manages complex calendars, coordinates senior-level meetings and events, prepares executive-level communications and presentations, and serves as a key point of contact for internal and external stakeholders. The ideal candidate is proactive, highly organized, exercises sound judgment and can effectively manage multiple priorities in a fast-paced environment while maintaining strict confidentiality.

The selected candidate will be responsible for, but not limited to the following:
  • Manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring appropriate preparation time and materials for the executive.
  • Coordinate domestic and international travel arrangements, including itineraries, transportation, lodging, and changes as needed.
  • Plan and support leadership meetings, town halls, and other events (agenda development, materials preparation, logistics, minutes, and follow-up actions).
  • Prepare, edit, and format correspondence, reports, presentations, and other executive-level documents with a high degree of accuracy and professionalism.
  • Screen, prioritize, and route incoming emails, calls, and requests; respond on behalf of the executive where appropriate and elevate issues as needed.
  • Track and support completion of action items, deadlines, and recurring deliverables for the executive and leadership team.
  • Process and reconcile expense reports, purchasing requests, and other administrative transactions in accordance with company procedures.
  • Maintain organized files and records (electronic and paper) to ensure easy retrieval and compliance with records-management requirements.
  • Handle sensitive and confidential information with the highest level of integrity and judgment.
  • Position requires on-site support daily.
  • Partners with executive leadership assistants in support of Space Systems sector goals.

The selected individual will be adept in the use of the Microsoft Office Suite and other software productivity tools and can work with minimal supervision while exercising good judgment, demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts and providing excellent follow through.

Basic Qualifications
  • High School diploma or equivalent and 8 years additional education and/or related experience.
  • Experience with organizing/maintaining/deconflicting schedules, meetings, and travel arrangements.
  • Demonstrated experience in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel.
  • United States Citizenship
  • The ability to obtain and maintain a U.S. Government Top-Secret clearance and SCI access/approval.
Preferred Qualifications
  • Associates degree
  • Experience supporting C‑suite or VP-level leaders in a large, matrixed organization.
  • Experience in Concur, ITRIP, iBuy, NG ServiceNow.
  • Experience in reviewing and editing written material for correct spelling and grammar.

Primary Level Salary Range: $79,100.00 - $131,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.

In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
